Egnyte Actions in Desktop App

Egnyte Actions is a feature within the Desktop App that provides quick and easy access to a variety of file management tools directly from the file’s context menu. With Egnyte Actions, a user can efficiently perform essential actions such as requesting document signatures, editing PDFs, or reviewing file versions without needing to navigate away from the app.

How to Use Egnyte Actions

Using Egnyte Actions is simple and intuitive. Follow these steps to access the available actions, depending on OS

Desktop App for Windows

Users can access the Egnyte Actions Menu in two ways:

Windows 11 (Modern Menu)

  1. Right-click on a single file or folder in the Egnyte drive.
  2. Select the Egnyte option from the modern context menu.

  3. The Egnyte Actions Menu will open, showing available actions for that file.

Windows 10 and Windows 11 (Classic Menu)

  1. Right-click on a file or folder in the Egnyte drive.
  2. Select Show More Options (Windows 11 only).

  3. Choose More Egnyte Actions from the classic context menu.

  4. The Egnyte Actions Menu will open with additional features.

Users may also see a separate Egnyte option in the classic context menu. This leads to the same Egnyte Actions Menu as described above.

Desktop App Core for Mac

  1. Right-click on any file or folder that resides in the Egnyte drive.
  2. In the context menu, select More Egnyte Actions.

  3.  An additional context menu will appear in the center of the screen, showing the actions available for the selected file.

Features and Behavior of Egnyte Actions

The Egnyte Actions feature provides several file management tools accessible through the Desktop App’s context menu. Depending on the specific action, some will be handled within the Desktop App itself, while others will be opened in the browser for completion.

File Actions

  • Share: Opens a dialog which allows selecting properties of the link to share.
  • View Online: View the file in a web browser through Egnyte’s WebUI. 
  • Comments: Add or view comments associated with a file through Egnyte's WebUI.
  • Workflows: Go directly to the workflow section of a file to review or submit workflows.
  • Send for Signature: Send files for electronic signature through Egnyte’s WebUI.
  • Edit PDF: Edit PDF files via Egnyte’s WebUI.
  • Ask: Open the AI-driven Ask a Document feature directly within the Desktop App to interact with the file and retrieve key information or summaries.
  • Details: Access detailed file information and metadata through Egnyte’s WebUI.

Folder Actions

  • Share: Opens a dialog which allows selecting properties of the link to share.
  • View Online: View the folder in a web browser through Egnyte’s Web UI.
  • Search in this folder: Opens search specific to the selected folder in the Desktop App interface.

File Actions

  • Open with: Open file using supported integration such as MS Office desktop app.
  • Share with: Share using 3rd party applications.
  • Share: Opens a dialog which allows selecting properties of the link to share.
  • View Online: View the file in a web browser through Egnyte’s WebUI. 
  • Lock/Unlock: Locks the file to prevent other users from editing it. If the file is already locked, the user will see the option to Unlock it instead.
  • Create Shortcut: Creates an Egnyte Shortcut to a selected file. 
  • Duplicate: Creates a copy of the file. 
  • Versions & History: See previous versions of the file and its download history through Egnyte’s WebUI.
  • Comments: Add or view comments associated with a file through Egnyte's WebUI.
  • Workflows: Go directly to the workflow section of a file to review or submit workflows.
  • Send for Signature: Send files for electronic signature through Egnyte’s WebUI.
  • Edit PDF: Edit PDF files via Egnyte’s WebUI.
  • Ask: Open the AI-driven Ask a Document feature directly within the Desktop App to interact with the file and retrieve key information or summaries.
  • Details: Access detailed file information and metadata through Egnyte’s WebUI.

Folder Actions

Desktop App-based actions

  • Share: Opens a dialog which allows selecting properties of the link to share.
  • View Online: View the folder in a web browser through Egnyte’s WebUI. 
  • Create Shortcut: Creates an Egnyte Shortcut to a selected folder. 
  • Create New Document: Creates a New Office Document - blank or using Egnyte Templates.
  • Duplicate: Creates a copy of the folder.
  • Sync for Offline Access: Marks folder as Synced for Offline Access.
  • Copilot: Interact with the AI-powered conversational interface to get relevant information from folder(s) or multiple files and folders.
  • Search in this folder: Opens search specific to the selected folder in the Desktop App interface.

Multi-item support (Desktop App Core only)

Egnyte Actions menu supports selecting multiple items, allowing bulk operations for increased efficiency.

Dynamic Feature Availability

The Egnyte Actions menu is dynamic, meaning that new Actions can be made available without requiring an upgrade to a new version of the Desktop App. This ensures access to the latest tools and functionalities as they are released.

Availability

The Egnyte Actions feature is available in the Desktop App Core for Mac, starting from version 1.2.0 or higher and Desktop App for Windows version 3.22.0 or higher. This functionality is not available for Desktop App for Mac.
