User Homepage

The homepage has been designed to enhance user’s productivity, streamline workflows and provide quick access to information. There are a variety of helpful options for the users to easily navigate through the Web UI.

For domains with the AI Add-on enabled, the user will see context-aware AI Pills on the recents tab, as shown below. 

For other domains without AI Add-on, the users will see just one AI Pill called Summarise the file which will redirect to the Ask experience.

Marking the Homepage as the Default View

The homepage can be marked as the default view by clicking on the pin icon in the top right corner. For users who have not set a default landing page, the homepage is the default landing page after signing in.

If the user marks any other folder as their default view, the home dashboard will no longer be the default view for that user. Users can access the Home page by clicking on the Home button in the product navigation bar on the left.

Search for Files and Folders

Enter the criteria in the text box to search for specific files and folders or choose from existing saved searches as shown below.

For the domains that have the AI add-on enabled, the Egnyte search bar detects when the query is better suited for the AI Assistant and offers a one-click handoff. For complex search queries, users can directly navigate to Egnyte’s AI Assistant and retrieve the response.

For simple navigational queries, such as searching for a specific document, the search defaults to the standard Egnyte’s keyword search.

Quick Create Options

The user can quickly create the documents from the homepage by clicking on the Create button on the top-right and selecting the document type.

Quick Links to Shared and Private Folders 

Quick links located at the top can be used to quickly navigate to the Shared and Private folders.

Quick links will depend on the type of user viewing the Homepage. Administrators will see all three buttons – Shared, their Private Folder and All Private Folders. Power users will be able to see Shared and their Private Folder buttons, while the Standard user will not see any of these buttons. Similarly, users from domains who have disabled private folders will not see any of these buttons.

Recents

The Recents option lists up to 50 of the recent files accessed. Users can scroll and navigate to the complete list. There are also context-aware actions pills displayed for each file based on its content. Selecting a prompt automatically initiates an interaction with the file in Egnyte’s AI Assistant. Users can also click on Go to Recents to view all the recent files.

These action pills are displayed only to the domains with AI add-on enabled.

Users can hover over any of the recent files to move or copy, download, edit, or share the file. They can also click on the three-dots icon to access the context menu.

Bookmarks

The Bookmarks option lists all of the user’s bookmarked folders. Users can hover over any of the bookmarked folders to move or copy, download, manage folder permissions, or share the folder. 

They can also click on the three-dots icon to access the context menu and remove the bookmark.

If the user removes any bookmarks from the home dashboard, it will also be removed under the bookmarks menu item on the left menu bar.

Links

Shared and received links are displayed in chronological order, starting with the most recent.
Admins can view links created across the domain. Power Users can access Received and Shared tabs. Users can filter the links using All (default), Received, and Shared options. They can also click on View All Links to open the Links page.

Click on the three-dots icon for each link to Open Link, Go to folder, or Delete Link.

Projects

The Projects widget lists up to 50 project folders that users can access, listed by recent usage. Click on the three-dots icon to access the context menu. On hover over, users can access the project settings or share projects. They can also click on the View all Projects option to access Project Center.

The widget will be visible only to the domains that have Projects Dashboard available as an add-on.

Tasks 

Tasks option provides a consolidated view of all Workflow tasks and Secure & Govern issues assigned to the current user, displaying the task name and due date for quick reference. 

When users click on a specific task, they are navigated directly to the appropriate section to complete the task.

The widget displays up to 50 of the user’s recent tasks.

Here is the Tasks showing both workflow and S&G tasks for customers who have S&G enabled.

Sensitive Content

Administrators can view Sensitive Content by Source & Risk and Sensitive Content by Policy widgets that show data from Secure & Govern.

Users can filter the sensitive content by source and risk using the dropdown option. Similarly, the chart can be filtered by source for sensitive content locations by policy.

Users can click on any of the pie slices or bars or hover over different sections of the chart and click on view locations (navigating to Secure & Govern) to dive deeper.

Sensitive Content option will be available to the domains with S&G included.

FAQs

Can a user open the files directly from Recents?

Yes, the user can open any recent files displayed on the home dashboard by clicking on the file name.

Can a user navigate to the bookmarked folders from the Bookmarks option?

Yes, the user can navigate to any bookmarked folders displayed on the home dashboard by clicking on the folder name.

Can a user create their own personalized options?

No, the users cannot create any personalized option on the homepage. 

Can an admin enable or disable certain options for other users?

No, the admin cannot enable or disable options for other users.

Is this Homepage also available on the Egnyte Desktop App?

Yes, this homepage is also available in the Egnyte Desktop App; however, the context menu (three-dot menu) is not available there.

Why do I see different AI options on my Homepage than my colleagues who are in a different domain?

The AI options depend on whether the domain has the AI Add-on enabled. On domains with the AI Add-on, the Recents tab shows context-aware AI action pills for each file, and the search bar can hand off complex queries to Egnyte's AI Assistant. On domains without the AI Add-on, users will see only a single “Summarise the file” pill, which opens the Ask experience.

How does the search bar decide between keyword search and the AI Assistant?

On domains with the AI Add-on enabled, the search bar detects the intent of the user's query. Simple navigational queries, such as looking for a specific document, uses Egnyte's standard keyword search. For more complex questions, the search bar offers a one-click handoff to Egnyte's AI Assistant so the user can retrieve a direct answer.

Why can't I see the Shared or Private Folder quick links?

The quick links shown at the top of the Homepage depend on the user role. Administrators see Shared, their Private Folder, and All Private Folders. Power Users see Shared and their Private Folder. Standard Users and users in domains where private folders are disabled do not see any of these quick links.

Which links appear in the Links section, and can everyone see the same ones?

The Links section lists the links users have shared and received, ordered by recency, and one can filter them using All (default), Received, and Shared. Visibility depends on the user role: Administrators can view all links created across the domain, while Power Users can access the Received and Shared tabs. Use View All Links to open the full Links page.

Why don't I see the Projects section on my Homepage?

The Projects section is only visible on domains that have the Projects Dashboard available as an add-on. If the domain does not have this add-on, the section will not appear.

How many items are shown in each section of the Homepage?

The Recents section lists up to 50 recently accessed files, the Projects section lists up to 50 project folders ordered by recent usage, and the Tasks section displays up to 50 of the most recent tasks. Users can use the Go to or View all options in each section to see the complete list.

What actions can I take on a file or folder directly from the Homepage?

Hover over any file in Recents to move or copy, download, edit, or share it, and hover over any folder in Bookmarks to move or copy, download, manage folder permissions, or share it. Users can also click the three-dot icon on any item to open its context menu for additional actions.

If I remove a bookmark from the Homepage, is it removed everywhere?

Yes. Removing a bookmark from the Homepage also removes it from the Bookmarks menu item on the left navigation bar.

What tasks appear in the Tasks section?

The Tasks section provides a consolidated view of all Workflow tasks and Secure & Govern issues assigned to the current user, showing each task's name and due date. Clicking a task takes them directly to the relevant area to complete it.
