How to Download Files and Folders Using Egnyte Web UI

While collaborating on the content in Egnyte, users sometimes need to download the files or folders for various reasons. Egnyte supports and helps users download files and/or folders in many ways and from various endpoints like Web Interface, Desktop App and Mobile. 

This article provides a guide on how to download files and folders using Egnyte Web UI.

Downloading Content from Web Interface

Apart from the admins, the Power Users, and Standard Users with Owner, Full, Editor and Viewer permission are allowed to download the files and folders from the web interface. 

Downloading a File

The user can download a file in two different ways from the web interface.

  1. From the Folder Listing
  2. From the File Preview

Downloading a File from Folder Listing

There are two easy ways to download a file from the web interface. 

Firstly, the user can hover over the file and click on the Download icon.

The user can also select the checkbox next to the file or right-click on the file and select the Download option from the context menu.

The download will begin and can be tracked accordingly in the browser itself.

Downloading a File from File Preview

While previewing the file, users can simply click on the Download button available in the top right corner.

Downloading a Specific Version of the File

By default, the system will always download the latest version of the file. If the user intends to download a specific older version of the file, they can also select the checkbox next to the file or right-click on the file and select the Versions & History option from the action menu.

Users can also click on the version icon against a file.

The versions dialogue will open with the list of all the available versions of that file. Select the Download Version icon against the specific version that needs to be downloaded.

The download will begin and can be tracked accordingly in the browser itself.

Downloading a Folder while Within that Folder

While viewing the contents of a folder, the user can click the Download icon from the top quick folder actions menu.

The folder will be downloaded as a ZIP file.

Downloading Multiple Files and/or Folder(s) from Folder Listing

Users can select the checkboxes next to the files and/or folder(s) and select the Download option from the action menu.

The user will be prompted with a confirmation dialogue along with options to include all versions and subfolders in the downloaded ZIP file. The information on how many total files and total size will be downloaded is also presented on this confirmation.

After reviewing the details and selecting appropriate options, the user can select the Download button on the confirmation dialogue. 

The download will begin and can be tracked accordingly in the browser itself.

Multiple files and/or folder(s) will be downloaded as a ZIP file. The ZIP file downloaded can have a maximum of 10,000 files limited to a total of 10GB in size.

Downloading File or Folder via Shared Links

When the downloadable file or folder links are shared, the recipient of the link can download the file or folder after accessing the same via the link.

For a file link, the user can simply click on the Download button from the preview that opens upon accessing the link.

In the case of a folder link, the user gets two options to download the content. 

The user can download the entire folder by selecting the Download Folder button from the listing view that opens upon accessing the link.

Alternatively, the user can select the desired files and/or folders from the folder listing that opens upon accessing the link and then select the Download Selected button.

The download will begin and can be tracked accordingly in the browser itself.

Frequently Asked Questions (FAQ)

Who Can Download the Files and Folders in Egnyte?

Apart from the Admins, the Power Users, and Standard Users with Owner, Full, Editor and Viewer permission are allowed to download the files and folders.

Why is the Option to Download a File Greyed Out for a User?

Apart from the Admins, the Power Users, and Standard Users with Owner, Full, Editor and Viewer permission are allowed to download the files and folders. The user may have Viewer Only permission and hence the option to download a file will not be available.

Can Users Download the Entire Folder in Egnyte?

Yes, users can download the entire folder in a ZIP file in Egnyte.

Can Users Download Multiple Files and/or Folders in Egnyte?

Yes, users can download multiple files and/or folders in a ZIP file in Egnyte. 

When a User Downloads a File, Which Version of the File Gets Downloaded?

The latest version of the file gets downloaded by default. If the user needs to download an older specific version, they can select the file, then select the Versions & History option from the action menu to open the versions dialogue, and finally, from the dialogue select the Download icon against the version they want to download.  

Can Users Download a Specific Version of the File?

Yes, if a user needs to download the older specific version, they can select the file, then select the Versions & History option from the action menu to open the versions dialogue, and finally, from the dialogue select the Download icon against the version they want to download.  

Can Users Download the Folder while Viewing the Listing of the Same Folder?

Yes, users can download the folder while viewing the listing of the same folder. It will be downloaded in a ZIP file.   

Can Users Download All the Versions of the File?

While downloading a folder or multiple files, users get the option to download all the versions of the selected files. However, while downloading a specific file, there is no option to download all versions. Users can either download the latest version or choose to download a specific version of that file.  

While Downloading a Folder, Will it Download the Subfolders as Well?

While downloading a folder, users are presented with an option to include the subfolders. The option will be selected by default. They can always choose not to include subfolders if need be.  

Is There Any Limit on How Many Files or Folders Can Be Downloaded at a Time?

Multiple files and/or folder(s) will be downloaded as a ZIP file. The ZIP file downloaded can have a maximum of 10,000 files limited to a total of 10 GB in size.

Can a User Download the File or Folder via a Link Shared with Them?

When the downloadable file or folder links are shared, the recipient of the link can download the file or folder after accessing the same via the link.

Why Can’t a User Download the File via a Link Shared with Them?

When the preview-only file or folder links are shared, the recipient of the link cannot download the file/folder after accessing the same via the link.
