File Preview provides an in-browser viewing experience for the supported file types, enabling users to navigate, review, and collaborate on content efficiently.
Preview a File
Users can click on the file name to launch the preview.
Alternatively, users can access the file in quick view and click on the Full View option.
The file will open in the preview mode.
Users can hover over and navigate through the pages in the file.
File preview options may vary based on active integrations and whether the Use integrations for preview when available toggle is enabled under Settings → Configuration → General → Previewing Files
File Actions

Edit – Allows users to edit the file using available integrations. Users can click on Edit in Google Docs (the option will appear according to the configured default integration) or Edit button and select the available integration option. The file will open in the selected integration for editing

Share – Users can share the link to a file using the Share Link option or click on Copy Direct Link to copy the file link for sharing. The option to share the file using specific app(s) will also appear based on the configured Apps & Integrations
- Download – Click to download the file

Egnyte Sign and Document Comparison – Egnyte Sign and Document Comparison options are available for customers with the PDF File Handler Add-On. Users can send the file for signature, create a signing template, or compare a file with its previous versions or with a different file altogether

Theme Toggle (Dark or Light Mode) – Switch between dark mode and light mode for the desired viewing experience
Toolbar Options
The toolbar in file preview enables the users to take several actions.

Left Panel – Opens a side panel to navigate and access additional document elements
- Thumbnails (Default) – Displays page previews for quick navigation with a slide bar to zoom in or out
- Outlines – Shows the document structure (headings/sections) for easy navigation between sections
- Signatures – Displays signature fields, if any within the document
- Attachments – Provides access to any files attached within the document

Print – Opens print settings to customize how the document can be printed
- Pages to print – Choose all pages (default), current page, current view, or specify pages
- Include annotations – Select to print annotations along with the document
- Print grayscale – Select to print the document in black and white
- Include comments – Select to include the comments in the print output
- Print Quality - Select the option as Normal or High
- Total - Displays the total number of pages to be printed

Watermark – Click on Add new and add the watermark details. Users can choose a location to edit watermarks, add text, choose font and size, and set opacity using the slider
Users can also set the style and click on Reset All Settings to reset the settings. Click on Add to add the watermark.
After selecting the options click on the Print button to print the document.

View Controls – Allows adjustment of how the document is displayed
- Page Transition – Switch between continuous (default) scrolling or page-by-page view
- Page Orientation – Rotate the document clockwise or counterclockwise

Page Layout – Choose between single page (default), double page, or cover-facing view
- Full Screen – Expands the document to occupy the entire screen for distraction-free viewing

Zoom Percentage – Displays and lets users adjust the current zoom level of the document. Users can fit to width, fit to page, select a specific percentage, or marquee zoom
- Zoom out (–) – Reduces the zoom level to view more of the page at once
- Zoom in (+) – Increases the zoom level for a closer view of content
- Pan – Lets users click and drag to move around the document when zoomed in
- Select – Enables selecting content or areas within the document

Search – Allows users to find specific text within the document. Click on a match to scroll the document to that result

Annotations – This panel shows a list of all of the annotations (notes, highlights, etc.) added to the document and allows the user to search those annotations. Clicking an annotation scrolls the user to that annotation in the document displaying an arrow pointing to the annotation

Tools and Capabilities
- Egnyte AI Assistant – Utilise Egnyte’s AI Assistant, an AI-powered conversational interface enabling users to ask questions, summarize content, and extract insights from the file. Users can select other source(s) to interact and get the responses
- Comments – Enables users to collaborate by adding comments, tagging users, and having contextual discussions directly on files for real-time feedback and communication
- Workflows – Allows users to initiate and manage workflows, helping streamline document approvals and ensure structured collaboration
- Details – Displays key file information such as file name, created date, last modified by, size, and path, along with access to the direct link for easy sharing
- Tags (Metadata) – Helps categorize and organize files using metadata, making it easier to search, filter, and manage content efficiently across the repository
Help & Resource Icons
There are help and resource icons available at the bottom in the sidebar.
- Help – Opens the in-product Help Center where users can search articles, access guides, and contact support for assistance
- Egnyte Community – Provides access to peer discussions, expert insights, and curated resources including best practices and ideas
- Egnyte University – Offers training resources, courses, and live sessions to help users and admins learn and master Egnyte features
- Product Updates – Displays the latest feature updates, enhancements, and announcements to keep users informed about platform changes
