New Features and Enhancements
Egnyte Sign GxP
Egnyte now supports Egnyte Sign GxP, a specialized signature workflow designed to help organizations meet stringent global regulatory requirements, including FDA 21 CFR Part 11 and EMA Annex 11. It strengthens document workflows with enhanced authentication, controlled access, and detailed audit trails to support compliance standards. This ensures electronic records and signatures are legally binding, traceable, and audit-ready, while helping regulated teams maintain data integrity, streamline approval processes, and reduce compliance risk across critical operations.
Egnyte Sign GxP is available to customers on GxP domains that have the PDF File Handler Add-on enabled. Contact the Egnyte account manager or Egnyte Sales team for more information.
Redesigned Folder Details and Options Pop-Up
The Folder Details & Options pop-up has been redesigned to include a new Preferences tab. This tab now contains the folder notification preferences that were previously available under Options, making them easier to locate and manage in one place. This change provides clearer organization of settings and helps users adjust folder-specific preferences more efficiently.
In addition, content sharing controls have been made more intuitive. Users can now choose to allow public link sharing for folders only as well or disable sharing public links while continuing to allow content sharing in the folder.
Folder Options Application Preference while Moving or Copying Folders
Egnyte provides the ability to apply Folder options based on user preference while moving or copying folders. This enhancement ensures folder transfers align with user preferences for efficient folder management.
Additionally, the admin setting for default options for folder copy or move action is now available under Settings -> Configuration -> General. By default, it is set to Apply destination folder options; however, admins can change the setting to Keep source folder options as needed. The default preference will be reflected in the folder options based on the configured setting.
This helps ensure consistent permissions during copy or move actions and reduces the need to manually review or adjust folder options each time.
The feature was previously made available to a limited number of customers and is now made generally available.
Egnyte Sign - Validate External Signer
Admins can now choose to enable or disable the option to validate external signers. When enabled, external signers must authenticate before starting the signing session, adding an extra layer of identity verification to help prevent unauthorized access.
Post accepting the consent, an authentication code is shared on the designated email address of the signer. The signer has to enter their email address and authentication code to start signing.
Egnyte Sign is available as part of the PDF File Handler Add-On. Contact the Egnyte account manager or Egnyte Sales team to get access to this feature.
Uploader Information in File Audit Reports
Egnyte now includes uploader information in file audit reports for files submitted through upload links, providing clearer visibility into who uploaded the file and through which mechanism.
Tasks and Workflows Counter
The Workflows listing page now includes the total number of tasks or workflows count, located in the top-left corner, directly above the listed items. This display provides an immediate tally of listed items and dynamically updates as the user applies or adjusts filters. This ensures that the counter always accurately reflects the current filtered view.
Sorting on Custom Metadata
Users can now sort files based on custom metadata tags attributes, making it easier to prioritize and locate relevant content in large datasets. They can simply click on custom metadata column headers to sort files in ascending or descending order. This functionality is available on Search Results, Folder Listing, and Browse by Tags view.
Sorting on Multi-Value String and Multi-Value Enum is not supported.
Issues Addressed
Readability Issues in Egnyte Sign Dropdown Options
Signature request recipients reported that the dropdown menu options in Egnyte Sign were not readable. This prevented the signers from accurately selecting the required fields.
Issue in Removing Dates from Project Settings Timeline
Users were unable to remove the dates from the Project Settings timeline. As a result, since an end date remained configured, the project could not be marked as inactive. Users were therefore required to select a later end date, extending the project timeline.
