Contract Analyst can extract key terms, uncover risks, and reveal patterns, giving users a clear, comprehensive view of their contracts. To ensure the most effective and streamlined experience, following the testing steps listed below is highly recommended.

Create a Dedicated Test Folder (All Testers)
Start by creating a new, dedicated folder within the Egnyte domain for the initial setup (example: Contract Analyst Test Files). Avoid using a primary, large production contracts folder initially.
Why this dedicated folder approach?
- Simplified Permissions: Administrator can more easily grant the required access (for example, Editor or Full) to all designated testers for this single folder.
- Focused Testing: Using a curated set of contracts allows for targeted testing and validation of key features and contract types.
- Safety & Support: A dedicated folder keeps testing separate from the production files reducing risks and simplifying troubleshooting without impacting live data.

Populate the Test Folder (All Testers)

Gather a representative sample of contracts for analysis.
Ensure all contracts are in PDF format, as this is the only file type currently supported.
- Upload the PDF contracts into the dedicated test folder created previously.
- Optional: Users may create subfolders within the main test folder (for example, NDAs, Service Agreements, Expired Contracts) to keep their test files organized.

Activate and Configure Contract Analyst (Egnyte Administrator Task)
Only a user with Egnyte Administrator privileges can perform this step.
- Navigate to Copilot Hub in the left menu
- Click on Create Agent -> Contract Analyst -> Use this Template
Alternatively, click Configure in the Contract Analyst tile. - A pre-filled template will appear. Enter the details and select the appropriate folder(s) as listed below. Click on Save.
- The default name Contract Analyst in pre-filled but can be modified
- Select an icon
- Provide a description (optional)

Choose the folder(s) to include in the Contract Analyst and click on Save
Note: If the Contract Analyst agent has already been created, navigate to Settings > AI Powered Features > Agents, locate the Contract Analyst agent, and click Edit.
Edit the Name, Icon, and/or Description. Ensure that no production files are included in the selected Folder(s). Users can view or add additional folders as needed. Click on Save.

Processing and Access
After creating or editing the agent, the Contract Analyst agent will appear in Copilot Hub -> Agents with a status as Preparing (displaying a progress percentage).
The Contract Analyst agent will be available for use once all the files have been processed.

Explore the Dashboard
Once the status changes to Active, designated testers (with access to the test folder) can click the Contract Analyst tile in the Copilot Hub -> Agents to open the dashboard and begin exploring.
In Contract Analyst, users can:
- View the Key Metrics, Contracts by type, and upcoming contract expirations
- Access the full list of contracts in the Contracts tab.
- Review files that were not recognized as Contracts in the Files to Review tab

Review Excluded Files
Contract Analyst automatically identifies contracts, but some documents may not be recognized. The Review screen lists these files, allowing users to manually include them for analysis.

Access the Review Screen: From the Contract Analyzer dashboard, click the Files To Review tab

Check for Excluded Files: Review the list of files from the folder that were not automatically processed. Use filters, such as Date Added and/or State or use the Search to locate the specific documents.
This list includes files the system did not recognize as contracts as well as files in unsupported formats.

Reprocess a File: To send a file for analysis, click the Reprocess button next to it. The system will process the document and add it to the Contract Analyst.
Unsupported documents cannot be reprocessed.
