Admins have the ability to enable or disable Private folders from the Collaborate settings. This feature provides more control and flexibility to manage data access with just a click.
For instance, admins can enable private folders across their domain to maintain data privacy for sensitive information. Similarly, they can disable private folders to ensure broader visibility and support compliance requirements.

Enable or Disable Private Folders
- Navigate to Settings -> Configuration -> General.
- Use the toggle to Enable or Disable the private folders. By default, the private folders are enabled.
- To disable the private folders, set the toggle to Disable, type DISABLE in the input box, and click on Confirm. Click on Save changes.
- Private folders will then be disabled and removed from all users' views like WebUI and Desktop App.
What Happens to the Data in Private Folders?
When Private folders are disabled, all the existing data in those folders is immediately moved to Trash and can be easily recovered, manually deleted or automatically purged from Trash based on the retention policies. It is highly recommended to take a backup of all the data in private folders before disabling.
How Long Does it Take To Disable Private Folders?
Depending on the amount of data, it can take some time to finish moving all the data to trash. Users can still access the data in Private folders during that time. For domains with large amounts of data we recommended disabling the Private folders during off hours to minimize user impact. Admins can check for existing data using the Private Folder Size Report.
How to Check Which User Disabled the Private Folders?
Admins can run Configuration Settings Audit Report and look for generalSettings.privateFolderEnabled under the Settings Path column.
