Microsoft Purview and Egnyte Integration

Egnyte integrates Microsoft Purview seamlessly to obtain the label definitions and add them to files in the Egnyte Repository. Microsoft Purview (a.k.a. Azure Information Protect or Microsoft Information Protect) enables customers to stamp the files based on the content and provide the sensitivity levels.

Use Cases

In today’s fast-paced digital world, organizations require robust security solutions that protect sensitive information wherever it lives. 

By integrating Egnyte with Microsoft Purview and leveraging top Zero Trust Network Access (ZTNA) and Data Loss Prevention (DLP) platforms, companies can use a common document labeling framework to simplify data classification and strengthen defenses against data exfiltration. 

The following use cases demonstrate how this integration delivers consistent and streamlined security and compliance, empowering organizations to collaborate safely and respond quickly to emerging threats.

Reference Integrations - Zscaler and Netskope

Egnyte integrates with Zscaler and Netskope through a common Microsoft Purview (or Microsoft Information Protection) document labeling framework. 

Documents in Egnyte that match a content classification policy are persistently labeled with a mapped Microsoft Purview label. As Zscaler and Netskope sync the same Microsoft Purview labels, their respective DLP policies can consistently enforce corresponding DLP actions on these documents in Egnyte.

Integrate with Microsoft Purview

Add a New Microsoft Source to Import Purview Labels

  1. Navigate to Secure & Govern -> Settings -> Content Sources.

  2. Click on Add Cloud Source.
  3. Click on Microsoft as the cloud content source.

  4. Click on Import Purview Labels.

  5. Read through the steps listed and click Next.

  6. Enter the Source name and click Next.

  7. Login with the Global Admin credentials provided by Microsoft.

  8. Read through the permissions required for importing purview labels and click Accept.
  9. Configure Microsoft labels in the final step below.
  10. Microsoft Purview labels will be imported and will be visible under S&G -> Settings -> Document Label

The Egnyte Admin who has the Microsoft Admin credentials can initiate the integration with Microsoft Purview. 

Update an Existing Microsoft Source to Import Purview Labels

  1. Navigate to Secure & Govern -> Settings -> Content Sources.
  2. Click on an existing Microsoft source.
  3. Click on Authorize to import labels and follow the steps 7-10 as described above

Microsoft source will have import labels added in its Scope.

Configure the Microsoft Purview Labels

Admins can choose to configure the Microsoft Purview labels at the time of integration or from the Document Labels page in S&G later on. 

To configure the labels at time of integration:

  1. Click on the label and the policy or policies to map the label to.

    -Hierarchical labels can also be imported and these are available as parent\child labels. For example, Confidential is the parent label and has two child labels as Confidential\All Employees and Confidential\Trusted People in the example below.
    -If Import label was previously configured, a one-time reauthentication is required to enable the Hierarchical labels.  Please see this article for more details.

  2. Select the Egnyte source(s) where the labels should be stamped and click on Import labels.

  3. If a user clicks Import labels after selecting at least one encrypted label, a warning message appears for them to confirm the action. Click on Import.

- One policy can be associated with multiple labels at any given time, and similarly, a single label can be assigned to multiple policies.
- The Admin can also configure the labels later from S&G -> Settings -> Document labels page.

Import Microsoft Purview Labels from Document Labels Settings

  1. Navigate to Settings -> Document Labels and Click on Sync labels and choose Microsoft source from the list.

  2. Labels that are not imported before will show up for configuration. Map the labels to the content classification policies.

  3. If there are no new labels available for configuration or if the labels cannot be fetched from Microsoft, the following screen will show on the user’s click of Sync labels. The user will not be permitted to import labels in this case.

  4. Labels associated with the policies will be marked as Active and the one not configured will be marked as Not Configured. 
  5. Click on Import labels

- All Document labels can be exported, which will provide the Label Name, Description, Label ID (as per the Source, Imported From and status).
- If the label name from an alternate source is the same as an existing label, the user will receive a pop-up to provide a new name for the label. They can enter the new label name and click on Update and Import.

View Label Details

  • Navigate to Settings -> Document Labels to view the label details. Each label has:
    • Label Name: Name of the label as added or imported 
    • Imported From: Name of the source
    • Applied To: Number of source(s) the label is applied to. On hover over, the name of the sources appear.
    • Labeled Files: Number of files the label is added to. This is hyperlinked and can be clicked to view the files’ details. The hyperlink will not be present if the count is 0. 
    • Status: Status of the label as Active, Inactive, or Not Configured. 
    • Three-dot menu provides an option of editing, deleting, or deactivating the label

On clicking the labeled files hyperlink, details are displayed consisting of the file name, path, creation date, and source. The user can export the file list or view the file from this page.

If a document matches multiple labels, Egnyte will stamp any of the matching labels.

Revoke Import Labels from Microsoft Source

  1. Navigate to Settings -> Content Sources.
  2. Click on an existing Microsoft source.
  3. Click on Revoke for Import labels.

Import labels will be removed from the scope of Microsoft source. 

Once the Import labels option is revoked, persistent labeling of files in Egnyte with Purview labels will not happen.  However, files that already have persistent labels will continue to retain them.

Supported document types for persistent labeling currently include: 

  • .doc
  • .docx
  • .docm
  • .xls
  • .xlsx
  • .xlsm
  • .ppt
  • .pptx
  • .pptm
  • .pdf
