Web UI - Folder Options Report, Folder-Scoped Report Access for Roles

External Release Notes: Web UI (November 4, 2026)

New Features and Enhancements

Folder Options Report for Simplified Auditing

Egnyte now provides the ability to generate a Folder Options Report that helps administrators track folder option changes across the domain.

The report captures who changed a folder option, when the change occurred, the previous and updated values, and related audit details. This makes it easier to track changes, validate folder settings during security and compliance reviews, monitor activity for specific folders or users, and maintain an auditable history through on-demand or scheduled reports.

Folder-Scoped Report Access for Roles

Admins can now limit where Power Users can run reports. When can run reports is enabled on a role, the new On selected files and folders option lets admins choose specific folders (including private folders) and decide whether subfolders are included. Users with that role can run reports only on the folders selected.

Configure Rejection Logic for Approval Workflows

Approval steps can now be configured to reject the workflow or redirect execution to a previous step when a rejection occurs, keeping the workflow instance alive and every record intact. When redirected, workflow returns to an earlier step within the same instance as a new execution. A configurable maximum execution limit, ranging from 2 to 10 with a default of 5, prevents workflows from running indefinitely. When the limit is reached the workflow is automatically rejected and closed.

The feature is available to the customers on Elite or Ultimate plans. Please contact the Egnyte account manager or Egnyte Sales team for more information.

Signer Groups and CC Groups in Egnyte Sign

Egnyte now provides the capability to add groups as signers and CC recipients in Egnyte Sign. A Signer Group allows any one member of the group to fulfill the signing requirement, while a CC Group automatically receives the final signed document once all signing is complete. Groups are defined at the Egnyte domain level and can be selected when preparing signature requests or creating templates.

This simplifies team-based signing workflows by eliminating the need to identify individual signers or add each CC recipient separately.

Egnyte Sign is available as part of the PDF File Handler Add-On. Contact the Egnyte account manager or Egnyte Sales team for more information.

Public Link Thumbnail Previews for Messaging Platforms

Share links to files posted in messaging apps such as Slack, Microsoft Teams, and iMessage now display a visual thumbnail preview of the linked file. Thumbnail previews are available for PDFs, images, videos, and other supported file formats.

Thumbnails are shown for public file links only (up to 100 MB). Links that are password-protected, have recipient email verification enabled, are restricted, expired, watermarked, click-expiring, or are folder links are not supported.

Issues Addressed

Resending User Invitation Emails

The customers were encountering issues with the Resend Invitation option for pending users as it was leading to an error in the UI.

Accessing User Profile Details by Admins

Admins were experiencing issues accessing users' activity history in the Overview tab of their profiles. The Recent Activity tab incorrectly displayed zero uploaded and accessed files and no recent uploads, file access, or login history, even for users with recorded activity.
