Account Management

Egnyte is currently migrating customers to a New Billing Experience. During this migration, the users may either see the New Billing Experience or the Legacy Billing Experience in the Egnyte Web UI. 

This article explains the process of identifying the billing experience and steps to manage any billing settings based on what users see in the product.

Customers Paying by Card

Applies to: Direct customers with domains in Active status who pay Egnyte using a Card on file. In this experience, Plan Management and Billing Management are split into dedicated tabs under Settings > Subscription

Manage Subscriptions

Admins can view the Plan, Usage, Add-ons, and Billing Info for their domain under the New or Legacy billing experience

New Billing Experience (Direct Customers)

In the New Billing experience, plan management and billing management are split into Current Plan, Payment Methods, Company Details, Invoices, Trial add-ons, and Explore Plans under Settings > Subscription >

Current Plan

Use Current Plan to review the Subscription and make plan changes. In the new billing experience, Account Management is no longer handled here. Instead, it is available in the individual tabs.

If the domain does not yet have a card on file, users may see a prompt to add one. Upgrades and Add-ons may be unavailable until a payment method is added.

Payment Methods

Use Payment Methods to manage the card used for automatic payments, including viewing saved payment methods, changing the default payment method, and deleting a payment method. 

Add a New Payment Method (Card on File)

  1. Navigate to Settings > Subscription > Payment Methods and select Add New Payment Method

  2. Enter the card details and the requested billing information. Select Save

    Optional: To use a new card for future charges, set it as the default payment method. If a new payment method is added and is set as Default, Egnyte also updates the shipping details shown in the Company Details page. This update applies to future transactions.

  3. Admins may also Set as default and Delete cards from the payment method tab by clicking the three-dot menu on any payment method card.

Company Details

Use Company Details to manage billing-related information for the account, including: 

  • General Company information 
  • Adding and removing Invoice email recipients (multiple emails are supported) 
  • Managing Shipping Address (physical location) 

Admins can Add and Delete email addresses.

Admins can edit the Shipping details. This update applies to future transactions.

Invoices

Use Invoices to Preview and Download billing statements for the account. The Invoices list is designed to include: 

  • A sortable Invoice list 
  • Invoice Status 
  • Actions to Preview and Download Invoice documents

To view Invoice options, click the three-dot menu next to an invoice, then select Preview or Download

Legacy Billing Experience (Direct Customers)

In the legacy billing experience, plan management and billing actions are managed from Settings > Subscription > Current Plan.

Current Plan

Use the Current Plan to review subscriptions and manage legacy billing actions described below:

  1. Add or Update a Credit Card on the Account
    In the Payment Info panel, select Change Credit Card. Enter the updated card details and the requested billing information. Select Save

  2. Update the Invoice Email on the Account
    Go to Settings > Subscription > Current Plan. In the Billing Contact section, select Edit. Add or remove email addresses, then select Save

    Multiple email addresses are supported. 

  3. View and Download Billing Statements
    Go to Settings > Subscription > Current Plan. In the Billing History section, select View billing statements. Select a statement date to view and download the billing statement PDF.

Customers with Payment Terms

Applies to: Direct customers with domains in Active status who are billed by invoice and pay based on the payment terms shown on the invoice

Manage Subscriptions

Admins can view the Plan, Usage, Add-ons, and Billing Info for their domain under the New or Legacy billing experience.

Current Plan

Use Current Plan to review the subscription and make plan changes. Billing-related actions are available in the tabs described below. 

Payment Methods

For customers billed by invoice, Payment Methods is used to set up Recurring Billing (automatic payment) using a card on file. If admins do not enable Recurring Billing, invoices can continue to be paid manually. 

Turn on Recurring Billing 

  1. Navigate to Settings > Subscription > Payment Methods and Select Turn on Recurring Billing

  2. In Recurring Billing > Payment Details, enter the card information and billing details and then Select Continue to Review

  3. Review the summary, then select Subscribe to enable Recurring Billing.

- Once Recurring Billing is enabled, any outstanding invoices will be processed immediately. Future invoices will be processed automatically on the date they are issued. Contact an Egnyte Sales Rep or Customer Service to disable Recurring Billing.
- To manage saved payment methods (view, add, change the default, or delete), follow the steps mentioned under Customers paying by card

Company Details

Use Company Details to manage billing-related information for the account, including:

  • General Company information 
  • Adding and removing Invoice email recipients (multiple emails are supported) 
  • Managing Shipping Address (physical location) 

Admins can Add and Delete email addresses.

Invoices

Make a One-Time Payment for a Specific Invoice (Credit Card) 

Users can also make a one-time credit card payment for any open invoice by selecting Pay from the three-dot menu. The card used for a one-time payment is not saved for future payments, and the account will remain on invoice payment terms.

Current Plan

Use the Current Plan to review subscriptions and manage legacy billing actions described below. 

  1. Make a One-Time Credit Card Payment for an Invoice
    Go to Settings > Subscription > Current Plan. In the Payment Info panel, select Pay with Credit Card.

    Enter the credit card details. Select the invoice(s) to pay, then submit the payment. The credit card is charged immediately and the domain remains on payment terms. The credit card is not saved for future payments. 

     

  2. Update the Invoice Email on the Account
    Go to Settings > Subscription > Current Plan. In the Billing Contact section, select Edit. Add or remove Email addresses, then select Save

Domains that Purchased Egnyte through an MSP Partner

Partner-purchased accounts do not have Egnyte’s billing account management tabs. In Settings > Subscription, partner-purchased accounts typically only see plan exploration items such as: 

  • Trial Add-Ons (if available for the domain and plan) 
  • Explore Plans (if enabled for the domain) 

For billing questions (payments, invoices, billing address, taxes, or payment terms), contact the MSP Partner directly.
