Best Practices
To ensure the consistency of the content for Google file types, Egnyte recommends the following:
- Avoid reverting a file to a previous version using Egnyte’s version history. If necessary, use Google’s revision history to revert the file.
- Avoid deleting an active or latest file version.
- Microsoft Office files opened through Google Workspace Integration may experience consistency issues. Please refer to Google’s documentation on Working with Office files using Office editing for more information.
- It is required to utilize a Google email address that is not affiliated with a corresponding Egnyte user email address to authorize the Google integration of the domain.
Access Shared Google Files
Users can easily access their Google files by clicking My Google Files link in the Files menu in the Web UI.
Click on My Google Files to open the Shared with me files in Google Drive.
The users can view the tooltip within the My Google Files by hovering over the menu option.

Create New Google Files
Click Create and select the option as Google Docs or Google Sheets or Google Slides.

Collaborating or Co-editing Google Files
There are multiple ways to start a co-edit or collaborative session for Google Files.

Hover over the three-dots menu of a Google file and click Edit option OR select the file and click Edit in Google Docs in the context menu.

Click on the Google file. In the file preview, click Edit in Google Docs.
Alternatively, click Edit -> Edit in Google Docs.

Collaborate or Co-edit Microsoft Files using Google Editor
Web UI enables co-editing Microsoft files using Google editor using the same steps as a Google file.
When a Microsoft file is opened or edited at least once using Google Editor, a copy of this file is available in Google Drive.

Renaming a File
Select the file and choose Rename from the Context menu.
Enter the new file name and click Rename.

Copying a File
Select the file and choose Move or Copy from the context menu.
Select the Copy tab, choose a destination, and click on the Copy button.

Deleting a File
Select the file and choose Delete from the context menu.
Deleting a file from Egnyte sends it to the Trash in Egnyte and revokes user permission in Google Drive. Deleting the file from the Egnyte’s Trash removes the file from Google Drive as well.

File Sharing
- Click on the Share option at the top right -> Open Share Dialog
Egnyte file sharing functionality is limited to Google Workspace files (Docs, Sheets, Presentations) only. This feature is not available for Microsoft files opened in Google Workspace.
- Alternatively, users can navigate to File -> Share -> Share with Others
Egnyte offers numerous file sharing options enabling the users to share files with anyone, anyone with password, existing users, and specific recipients.
They can also set link properties before sharing the Google document.

Understanding OAuth Scope Approval for the Egnyte Add-on
When installing or updating the Egnyte add-on, admins may encounter two scenarios:
First-Time Installation:
- If an admin installs the add-on from the marketplace for the first time, they will be prompted to approve all required OAuth scopes during the installation process.
Existing Installation:
- If the add-on is already installed, the app will appear in a Partially Granted state on the Google Admin Console.
- Any newly added scopes will be shown as Not Granted
- In this case, admins must approve the new scopes to ensure the add-on continues to function properly for all users.

Smart Canvas Features
Users can utilize Smart Canvas features in the Google Editor. Open a file from Egnyte in Google’s Editor and type @ to select the desired option.

File Menu Options
With this integration, the File Menu provides additional options to users.
- Option to create a new file from the template gallery.
Avoid creating a file from the template gallery, as it won’t be saved to Egnyte. This is a known limitation acknowledged by Google.
- File -> Make a copy has additional options to share the file with the same people, copy comments and suggestions, and the choice to include resolved comments and suggestions.
- File -> Approvals allows requesting feedback and approval to finalize the document
- File -> Make available offline feature lets the users access the file even when they are offline
- File -> Add shortcut to Drive creates a shortcut to the file in Google Drive for quick access
- File -> Details option provides details of the document, such as location, modified, and created

Insert Menu Options
Insert menu also offers an additional set of options in this integration.
- Insert -> Image -> Drive/Photos option can be used to insert pictures from Google Drive and Google Photos. These are available in Google Docs and Slides
- Insert -> Drawing -> From Drive is an option available to insert a drawing from Google Drive
- Insert -> Chart option allows users to insert charts in their document/slides
- Insert -> Audio option can be used to insert audio in their slides
