The Egnyte Document Portal provides a streamlined interface for external users (Standard Users) to access content in Egnyte and complete assigned tasks. External users with access to a Workspace will only have access to Egnyte via the Document Portal. They will not be able to access the Collaborate app or any other Egnyte functionality.
Accessing External User Specific Portal
The external users have access to three tabs in the portal:
- The Home tab with a consolidated list of pending tasks including upload requests, signature requests, and workflows.
- The Tasks tab with a comprehensive list of all tasks assigned to the user. This list includes all the pending, completed and canceled tasks
- The Files tab which provides access to the files and folders the user has been given access to
On logging into Egnyte Document Portal, external users see a list of pending tasks. They can open and complete their pending tasks directly from the list.
When an external user has access to multiple Workspaces, then they will see a list of Workspaces along with the number of pending tasks for each Workspace. Once users click on a specific workspace, they are navigated to the Workspace’s Home tab. From here, the user can navigate to the Tasks and Files tabs of the specific workspace.
Limitations
- Each external user consumes an Egnyte Standard User license
- It may take up to 60 minutes for an existing Standard User to gain access to the Document Portal after being assigned to a Workspace. Newly created Standard Users will immediately have access.
