Document Portal Overview
Egnyte’s Document Portal provides a secure platform that allows customers to collaborate, communicate and share files with their external users easily. It offers a user-friendly portal for external users where they can participate in document-centric workflows and tasks. Document Portal decreases turnaround time on external user tasks.
Following are some of the key capabilities included in Egnyte’s Document Portal:
- Create dedicated Workspaces for working with external users (Standard Users)
- Workspaces provide external users a streamlined, task-centric experience for upload requests, eSignature requests, and workflows
- Internal users (Power Users) can see the list of Workspaces and search or filter to access them without needing to know their location in the file system
- Create Workspaces from a template, from an existing folder, or from scratch
- Set up Workspace Types to manage different types of external parties (Example: clients, partners, vendors)
Document Portal and Upload Requests are included in the Document Portal Add-on and available to all Platform plans. Contact your account manager or Egnyte Sales team to learn more on how to get access to this feature.
Accessing The Document Portal Application
To access the Document Portal application:
- Click on the App Picker icon in the top-left corner of the screen.
- Choose Document Portal from the list.
All Administrators and Power Users will see this application.
Workspaces
Document Portal organizes content in “Workspaces”. Each external user such as client, vendor, or partner organization will have their own Workspace that acts as a secure portal for both internal and external access. Each Workspace is associated with a single folder in the Egnyte filesystem.
External users are limited to accessing the Workspace folder from within the portal, while internal users can access it through the portal or directly through the Egnyte folder. This means that if external parties are already being invited to Egnyte as Standard Users, their folders can be marked as Workspaces to provide a richer external user experience.
Upon opening the Document Portal application, a list of the Workspaces will be displayed.
All Power and Admin users can view the entire list of workspaces but only those with permissions to the underlying Workspace folder can open it. Users can search for a specific Workspace, Workspace type, Workspace creator and status by clicking on the Filters button.
