Signing a Document
Follow these steps to sign a document :
- Find and click the signing link in one of the following locations:
- The signature request email is sent to all signers. Signing links are specific to each user and should not be shared with others. Click Review & sign to start the process.
- The Signature dashboard, accessible to domain users, in the Workflows and Signatures panel accessible from the left navigation menu of the Collaborate WebUI. Choose the Signatures tab to see the pending signature requests. Hover over a row and click the Sign It button to start the process.
- The signature request email is sent to all signers. Signing links are specific to each user and should not be shared with others. Click Review & sign to start the process.
- Accept the Electronic Record and Signature Disclosure and Egnyte’s Privacy Policy to continue. This step is needed to make the signature legally binding.
- Click on Start or scroll in the document to the signing field added by the sender.

Fill up a field and the user will be automatically redirected to the next field to fill.

Signature and Initials fields allow to draw, type, or upload the signature or initials. Users can choose font color and styles.

Text-based fields allow typing a value.

Signature date fields are automatically populated and cannot be edited.

If a text added in the text-related fields while signing, is larger than the width of the field, the font size will decrease (down to at most 6 px) to accommodate the maximum text possible.

Sign & Confirm will be enabled once all the fields are filled. Click on Sign & Confirm at the top or bottom of the screen to submit the signature.
Users can also sign a document using the Egnyte Mobile App. Refer to Egnyte Sign on Mobile for more details.
Users can click on the Download icon at the top-right to download the requested document as a PDF file before signing. This allows them to share it with their team or other reviewers for feedback before proceeding.
For requests with signature forwarding enabled, the download icon is available next to the Forward button.
The file will be downloaded as a PDF without any signing fields. If a signature request includes multiple documents, clicking the download icon will generate a combined PDF of all documents.

Decline an E-sign Request
Users also have the option to decline an e-sign request, if required.
To decline the request, open the document sent for signing and click on Decline in the top-right corner.
Provide the Decline reason (optional) and click on Decline Signature Request.
The signature request will be declined.
The sender will receive an email notification once the request has been declined.

Accessing the Signed Document
Once all signers have signed the document, the signer receives an email with a link to a signed PDF copy of the document. Click the View signed document button to access a page with a preview of the document with an option to download the PDF file.
Domain users can also access the signed document through the Workflow & Signatures -> Signatures dashboard after changing the filter to show Completed requests.
Click on the three-dots menu -> Download Signed Document to download the PDF file.

Accessing the Certificate of Completion
Certification of completion is available on the signed copies of the documents.
Once all signers have signed the document, the signer receives an email with a link to a signed PDF copy of the document. Click on View signed document -> Document Preview -> Download -> Certificate of completion.
If the admin has enabled the Add Certificate of completion to the signed document setting, the certificate of completion will be appended to the signed document. In this case, users can download it either separately or together with the signed document.
Users can also access the certificate of completion through the Workflow & Signatures -> Signatures dashboard after changing the filter to show Completed requests.
Click on the three-dots menu -> Download Certificate of Completion to download the certificate.
