Egnyte Sharing Options within Microsoft 365 for the Web

The article covers details on the sharing options within Egnyte’s Microsoft 365 co-editing for the Web integration. The users can also co-edit their files with other users in real-time without leaving the Microsoft 365 Apps.

For Admins, all domain settings and sharing settings that they have set up in the Collaborate Product will be applicable, offering a consistent experience across Egnyte.  

Enable Microsoft 365 Co-editing for the Web:

For new domains, if  Microsoft 365 co-editing for the Integration is not enabled by the Egnyte Admins for the users, they can:

  • Navigate to Egnyte Domain -> Apps & Integrations -> Microsoft 365 co-editing for the Web, and enable it for the users. 
  • Click on Enable Integration.
  • Choose Added for all users from the dropdown and click Save.

For Egnyte domains where this is enabled or added, there is no action needed.

Egnyte Sharing within Microsoft 365 Co-Editing for the Web:

Egnyte users with edit permissions can open and co-edit a file in Microsoft 365 for the web.

  • Right-click on the file (or click the checkbox next to a file), choose Microsoft Word for the Web in Edit options.
  • Alternatively, hover over the three-dots menu of a file, click on edit icon -> Microsoft Word for the Web

The user may need to log in using their Microsoft 365 Business account periodically to verify their Microsoft subscription is active as they will be working with Third party Software.

To edit the file, make the desired changes to the file. All changes are automatically saved to Egnyte instantly and the user can co-edit by inviting other Egnyte users to join them in the document. 

Share Options in MS 365 for the Web

When the user opens a Microsoft 365[Word], [PowerPoint], or [Excel] file on the web,  they will see the Microsoft Share UI on the top-right side of the window depending on the 365 Client version they have.

Click on Share and any of the following options: 

  • Share: The user can share the file by choosing the access and setting the link properties.  
  • Copy Link: The user can set the link access and properties to get the share link and copy the link to share with other user(s).  
  • Manage Access: The option enables the user to manage access to the file’s link to share it with anyone/anyone with password/existing user(s)/specific recipients.

There are some additional options when the user as a sender, clicks Share. All three options will lead to opening a new browser Tab with the Egnyte Sharing options.

User can click on Get share link to copy the link and share it with the intended users. Alternatively, Click Email Link, choose the recipient(s), fill in the short message, and click on Send email

After clicking on send email, the sender will get a confirmation dialog. Sender needs to close this browser tab after sharing is done, and they can resume working on the Microsoft 365 document. 

The recipient (s) will get an email with the link to join the sender in the document to co-edit if they have an Egnyte account and required permissions.  

 

- Standard Users can not share links. 
- Any changes in the default settings or permissions can be done in Collaborate -> Settings. The same settings will be applicable in Microsoft 365 for the web applications
