Egnyte offers a domain-level setting to enable or disable recipient verification for public links. Admins can also configure whether link owners can override this setting when sharing links.
When enabled, recipient verification replaces anonymous entries in audit reports with the recipient’s verified email address, providing better visibility into who accessed shared content and improving auditability.
This feature is available for the New Generation Platform plans only. Contact the Egnyte account manager or Egnyte Sales team for more information.
Configure Email Verification Process
- Navigate to Settings -> Configuration -> General
- Enable or disable the toggle for Activate email verification process for shared links’ recipients. Additionally, if enabled, admins can choose to allow override this setting when creating a share link.
Share Public Links with Email Verification Enabled
Users can share public links with Verify link recipients set to Yes.
- Public Link Email Verification is disabled by default and must be explicitly enabled by a domain administrator in Domain Settings.
- Verification applies only to public links created after the feature is enabled; existing public links are not affected.
- Recipients who are already signed in to the same Egnyte domain can access public links directly, without completing email verification.
If the setting to allow overriding when creating a shared link is enabled, the link creator can choose to keep the attribute as Yes or No.
Accessing Links Requiring Verification
- When users access a public link requiring verification, they are asked to enter their Email address.
- The Verification code is sent to the provided address.
- Once verified, the user will be able to access the public link. The session is active for about 15 minutes ensuring that the users get seamless access to the link without having to re-verify.
The activity will be captured in the audit report with the Email address, location, and IP address of the user.
- If External access rules are enabled for share links, only recipients with an allowed email domain can access the content after successfully verifying their email address.
- For Watermarked file links, when dynamic watermarking is configured to include user details, the verified recipient’s email address is automatically added to the watermark.
