Bulk Extraction - Frequently Asked Questions (Limited Availability)

Bulk Extraction allows users to automatically extract and apply metadata tags across large volumes of files. This article addresses common questions about configuring and managing extraction jobs, supported file types, processing quotas, and what to expect during the current Limited Availability phase.

When Can an Extraction Job be Activated?

An extraction job can be activated after it has been configured and the file count has been calculated. The file count progress is displayed in the Documents column while the job is in Draft status.

Can Users Edit the Configuration of An Active Extraction Job?

No. Extraction job configurations can only be edited while the job is in the Draft status. Once a job has been activated, its configuration becomes read-only.

Can Users Delete An Extraction Job?

No. Extraction jobs cannot be deleted. However, users can mark a job as Inactive if it is no longer required.

What Happens When New Files Are Added to Folders Monitored by An Active Extraction Job?

Bulk Extraction continues to process newly uploaded files in the selected folders after the job has been activated. Processing progress for newly added files can be viewed from the extraction job details.

Can Bulk Extraction Process Files That Already Contain Tags?

Yes. During configuration, users can choose whether existing tag values should be retained or overridden by the extracted values.

Can Users Limit Extraction to Specific Documents Within the Selected Folders?

Yes. Users can define conditions based on existing metadata properties to determine which documents should be processed.

How Can Users Identify Whether Documents Have Been Processed, Skipped, or Encountered Errors?

The Documents column displays counts for Processed, Skipped, and Error files. Each status is displayed using a distinct color code, making it easy to track processing outcomes.

In the example below, 455 files have been successfully processed and 1 has been skipped and encountered an error respectively. 

Additionally, users can open the job details and hover over the skipped or errored document to see more details. 

How Can Users View The Tags Extracted For a File?

Users can open a file from the extraction job details page to view the extracted tags. The Tags tab displays the metadata that has been applied to the file.

Which File Types are Supported For Bulk Extraction?

The supported file types, associated file extensions, and file size limits are the same as those supported by Egnyte’s AI Assistant.

Is There a Limit on the Number of Files That Can be Processed Through Bulk Extraction?

Yes. A maximum of 200,000 files can be extracted per month for a domain. 

This limit applies during the current Limited Availability (LA) phase. The way usage will be charged will change when the feature reaches General Availability (GA). Details will be shared closer to GA.

Does the Limit Reset Per Month?

No. The extraction limit does not reset at the start of each month. Instead, the available quota is replenished gradually on an hourly basis throughout the month.

This means that as documents are processed, the available quota decreases and is then incrementally restored over time, rather than being fully reset on a fixed monthly date.

How Quickly is the Extraction Quota Replenished?

The extraction quota is replenished incrementally every hour throughout the month. The hourly refill rate is calculated based on the monthly quota.

For the default limit of 200,000 documents per month, the approximate replenishment rates are:

The available quota cannot exceed the configured monthly limit.

What Happens When the Extraction Limit is Reached?

Extraction jobs are not stopped when the available quota is exhausted. Instead, document processing continues at the quota replenishment rate.

For example, with the default limit, processing continues at approximately 3,333 documents per day as quota becomes available. Active extraction jobs remain operational but may take longer to complete.

Will Users Receive a Notification When The Extraction Limit is Reached?

No. There is currently no in-product notification or indicator that shows when processing has slowed due to quota exhaustion.

If extraction jobs appear to be processing more slowly than expected, the available quota may have been depleted. Please contact the Product team for assistance if additional information is required.

Is the Extraction Limit Based on a Monthly Quota or a Daily Processing Rate?

Both measurements describe the same quota model.

The monthly quota represents the maximum amount of extraction capacity that can be accumulated, while the daily processing rate represents the approximate amount of capacity replenished each day.

For the default limit of 200,000 documents per month, the replenishment rate is approximately 6,667 documents per day.

Will this Monthly Limit Always Apply?

No - it applies during the current Limited Availability (LA) phase. The way usage will be charged will change when the feature reaches General Availability (GA). Details will be shared closer to GA.
