Benefits

  • Reduce manual tagging:  Bulk Extraction automatically populates tags based on document content, reducing the time spent manually classifying files.
  • Improve tags consistency: The same extraction logic is applied across all files, helping maintain consistency and reducing variations introduced by manual tagging.
  • Apply tags to existing and new content: Tags can be extracted from historical files already stored in Egnyte as well as new files added to monitored folders after activation.
  • Work with existing metadata schemas: Extracted values are written directly to existing Egnyte metadata schemas, allowing organizations to continue using established metadata structures and workflows.
  • Support search, governance, and AI workflows: Consistent tags helps make content easier to find, organize, govern, and use in AI-driven experiences.

Use Cases

Contract Management

Extract information such as contract numbers, effective dates, renewal dates, and customer names from contracts and automatically apply them as tags. This makes it easier to locate contracts based on key attributes, track upcoming renewals, and support contract review and compliance processes.

Financial Documents

Capture key information from invoices, purchase orders, financial statements, and other business documents to improve organization and retrieval. Tagged financial records can be searched, filtered, and grouped more efficiently, helping teams locate relevant documents during audits, reporting activities, and financial reviews.

Human Resources Records

Extract tags such as employee names, employee IDs, departments, and document types from HR documents to support record management. Structured metadata can assist HR teams to quickly retrieve employee records, organize documents consistently, and support retention and compliance requirements.

Project and Construction Documentation

Identify and tag project numbers, locations, document categories, and other project-related information from drawings, submittals, permits, and related files.

This enables project teams to quickly locate documentation associated with specific projects, locations, or document types and improves visibility across large document repositories.

Compliance and Quality Records

Extract tags from policies, audit reports, certifications, procedures, and other compliance documents to improve tracking and governance.

Consistent tagging makes it easier to locate records during audits, monitor compliance documentation, and support governance initiatives across the organization.

Historical Content Classification

Apply tags to existing repositories of untagged files, making previously unstructured content easier to search, organize, and govern.

This helps organizations improve the discoverability of legacy content and enables existing repositories to participate in metadata-driven workflows, governance processes, and AI-powered experiences.
