AI-Driven Document Type Metadata Tags

Egnyte uses AI to automatically apply Document Type metadata tags to the files. When a document is previewed or used with AI features like Ask or Copilot, the system analyzes the content and assigns an appropriate type such as Contract, Engineering Report, RFI, or Specification.

How Classification Works

The classifier is built on language models and analyzes document content to determine the most appropriate type from Egnyte's supported document categories. 

For most documents, this works seamlessly. However, for complex or highly specialized documents, the classifier may sometimes choose a related type instead of the best fit. For instance, tagging a geotechnical report as an Engineering Report rather than a more specific category.

Classification Improvement Based on User Feedback

Egnyte offers users the ability to modify the document type tags as required. When a user updates a Document Type tag, the change is recorded as feedback and used to improve classification accuracy over time. For complex or specialized document types, the system looks for consistent correction patterns before applying improvements.

Accuracy improves when similar corrections are made across multiple files, especially when they come from multiple users. Corrections made by Admins and Power Users are given greater weight, and the system applies the pattern only after observing enough consistent corrections.  

As Document Type tags are refined across the document library, the classifier gradually adapts and becomes more aligned with the organization’s specific document landscape.

Updating Document Type Tags

Users with read or write permissions on a document can update Document Type tags in multiple ways:

From File Listing in Web UI

  1. Hover over the document in the Web UI and click on the Edit icon in the Document Type column.
     
  2. Add or remove the tag(s) and click on Save.

From File Preview

  1. Open the file in preview and navigate to Tags.

  2. Find the Egnyte Document Tags and click on the three-dots option -> Edit tags.

  3. Add or remove the tag(s) and click on Save.

From Ask in File Preview

  1. Open the file in preview. In the Ask or Copilot option, Click on Modify to change the document type.
