Agents automate repetitive, time-consuming daily tasks enabling the users to focus on other essential activities requiring their time and effort.
This article covers the details on working with these agents in a stepwise manner.
This feature is available for Platform Plans with AI add-on and included in the New Generation Platform plans. Contact your account manager or Egnyte Sales team to get this feature.

Agent Builder - Create an Agent
Users can create their own custom agent as per their requirements or use an existing template to create an agent.
Create a Custom Agent
- Navigate to the AI option in the left menu. Click on Agents -> +Create Agents button at the top-right or in the tile.
Users can also navigate to Settings -> AI Powered Features -> Agents and click on Create New Agent. -
Custom Agent is selected as the default choice in the left menu. Click on Create a Custom Agent.
This will open the Describe tab in the Agent builder.
Describe
Enter the details on what the agent would do. Users can also click on the + icon and select up to 20 files in their description.

The Agent Builder will start analysing the description provided by the user.
Agent Builder will provide the updated description and also suggest the next steps for the user. Some of the details can also be auto-populated based on the description provided and a Blue dot will be displayed in these tabs. Users can keep the auto-populated information or continue to edit as per their choice. They can provide feedback to the description provided by the Agent Builder and continue to make the changes to the new agent by typing the query in the input box.
Details
The details will be auto-populated as per the description provided. Users can choose to update the detail(s) as per their preference.- Icon: Select the icon for the agent
- Name: A descriptive name
- Description: Provide a brief description
- Instruction: A custom instruction will be auto-populated. Click on the Magic wand icon to regenerate and improve their instruction
Some of the Starter prompts may be auto-populated. Users can click on the Delete icon to delete any of the prompt(s).
They can click on Add Prompt to add new prompts. They can either choose to add from the prompt library or enter manually.
For entering the prompt(s) manually, the user can type the prompt, click on Add more to add more prompts, and click on the Delete icon to delete a specific prompt. Click on Save.
Sources
Based on the description, some of the source(s) may be auto-populated. Click on Add sources to add more sources.
Users can choose to add All or Selected Egnyte files and folders and All or Selected web sources.-
All Egnyte files and folders: Click to select all the Egnyte files and folders. If there are specific files and folders already selected as the agent source, the user will be asked to confirm their choice. Click on Switch to all sources to confirm
- All web sources: Click to select all the web sources. If there are specific web sources already selected as the agent source, the user will be asked to confirm their choice. Click on Switch to all sources to confirm

Selected files and folders: Users can select up to 20 items. Click on Continue

Selected web sources: Users can type specific web source(s) and save. Click on Add more to continue adding sources and Delete icon to delete a specific source.
If there are All Egnyte or web sources selected, the user will be asked to re-confirm if they choose to add specific Egnyte or web sources.
Users can filter the source(s) as All (default), Egnyte, and Web. They can also click on the three-dots icon -> Delete or select the source(s) and click on Delete to delete the source(s).
Tagging criteria can also be added for the source(s). Click on Set tagging criteria and select the source(s) or select the source(s) and then click on the three-dots icon -> Set tagging criteria.
Choose the metadata criteria by selecting the Select property, Relative, and Value for each condition.
Users can continue to add criteria by clicking on Add another criteria. They can click on the Delete icon to delete a specific criteria. Click on Save.
Source(s) with tag(s) specified will have the Tag indicator visible.
Egnyte ensures that data privacy and security are protected at all times when Egnyte and/or Web Search is selected as the source. Learn more about Egnyte’s Generative AI policy.
Connectors
With Agent Builder, users can also add connectors for their agent. Click on Add connector and the available AI connectors can be added.
Access
Access to the agent can also be defined while creating the agent. By default, Public is selected.
Users can select the following options:- Public: Any user in the domain can view and interact with the agent
- Private: Only the creator and admin users can view and interact with the agent
- Restricted: Access is granted to specific users and groups
If the user selects Restricted as the option, they can enter the user or group details, select the permission as Viewer (default) or Owner. Owners get the ability to edit the agent whereas Viewers can only interact with the agent.
Click on Add to continue adding more users or groups.
Egnyte does not store the edit or modification history for agents. It is recommended to grant Owner access only to users who require it.
Advanced
Users can select the model for the agent. Click on the dropdown to select the available model. Users can also select the response mode:- Fast (default): Preferable for everyday tasks

Thinking: Select this mode when calculations or advanced mathematical reasoning is needed
Test Your Agent
Users can test their agent before creating it. They can enter a prompt to test or select from the prompt added by the user. Testing the agent also offers the following:- Improve the prompt
- Use existing prompts for testing
- Include file(s) using the + icon
- Click on Save and Open to create the agent.
The agent will be created successfully and it will be available for the user to start using it.
The newly created agent will be available under AI -> Agents section and under the Agents listing in the contextual entry point.

Create Agent from a Template
- Navigate to the AI option in the left menu. Click on Agents -> +Create Agents button at the top-right or in the tile.
Users can also navigate to Settings -> AI Powered Features -> Agents and click on Create New Agent. -
Select the desired template from the left menu and click on Use this template.
Egnyte offers five templates to provide the users with Agents ideas. Additional Templates cannot be created at this time.
- Agent details will be pre-filled based on the template selected. Users can modify the details, if required, and test the agent using the steps as mentioned earlier. Click on Save and Open to create.
The agent will be created successfully and it will open for the user to start using it.

Import Agent
- Navigate to the AI option in the left menu. Click on Agents -> +Create Agents button at the top-right or in the tile.
Users can also navigate to Settings -> AI Powered Features -> Agents and click on Create New Agent. - Click on Import Agent.
- Click on Select file(s) and select the desired file(s) or drag-drop the file(s) to continue.
- The details will populate as per the file(s) uploaded. Users can click on the Re-upload skills file and select different file(s), if needed.
- Users can modify the details, if required, and test the agent using the steps as mentioned earlier. Click on Save and Open to create.

Use an Agent

Users can navigate to AI and click on any agent available under Agents.
Users can search for a specific agent or use the following quick filters:- All: This is the default selection displaying all the agents
- By Egnyte: The agents created by the system are displayed
- My Agents: The agents created by the user are displayed
- Trending Now: The most frequently used agents are displayed
Alternatively, users can also utilize the contextual entry point from any of the Egnyte pages. They can select the desired agent from the dropdown.
As soon as the users open the agent, they will get an option to provide their input and start interacting with the agent. They can click on the icon at the top-left to collapse the side panel. Users can hover over the i icon to read the agent description. - Provide the input to the agent and get the response. They can type the prompt or click on the + icon -> Prompts to select any of the prompts from the Prompt library. Users can also type @<filename> to direct their query to specific file(s). Users can tag up to 20 files directly within a prompt using @<filename>.
If the user adds more than 20 files using @<filename>, they will receive a warning to remove the additional files to continue their interaction with the agent. - Click on the source(s) to view the agent source(s). Alternatively, click on the + icon and click on > for Egnyte and Web sources to view the specific source(s). Click on the arrow to send the query to the agent.
- The agent begins processing the input to provide a response. The user can monitor the status.
The response is generated based on the user’s input.
Based on the user’s query, the agent may take a while before generating the response. In such scenarios, there is a notification made available in the Notifications Icon at the top. The notification appears when the user moves out from the Agents screen and the response is generated.

Edit a Prompt
Users can edit the most recent prompt given to the agent to refine the response.
- Click on the Edit icon.
- Edit the prompt and click on Send.
The agent will generate the response as per the edited prompt.
Copy Text
Click on the Copy text icon and the response generated by the agent will be copied to Clipboard.

Share Chat
Chats can be shared with any existing users or users that have been selected.
- Click on the Share icon -> Share from any of the responses or from the Share icon at the top. The option at the top is disabled unless the user starts interacting with the agent.
Alternatively, users can navigate to the Recents, click on the three-dots icon -> Share. - Select Existing Users (default) or Users you choose and enter the user(s). Click on Get share link.

The link to the conversation will be copied and the user can share it with the intended recipients
Source files are referenced but not shared while sharing a conversation. The recipients will see the conversation content only, even if they don’t have access to the files.
The chosen users will receive an email informing them about the shared conversation.
When the users click on the link they receive, the same conversation will open up for them to continue interacting with the AI Agent.

Save Response
Users can save the response provided by the agent by clicking on the Share dropdown and then selecting Save to Egnyte option.
- Click on Save to Egnyte and provide the name to the file. Click on Select Folder.
- Select the desired folder location and click on Select.
- Click on Change to reselect the folder location. Click on Save.
The response will be saved to the selected folder location.
Download
Users can download the response by clicking on Share icon -> Download. The response will be downloaded to the user’s system as a word document.

Regenerate Response
The user can regenerate the response by clicking on the Regenerate icon.
Provide Feedback
Users can provide feedback on the responses generated by the agent. They can click on the thumbs up icon if the response was useful.
Click on the thumbs down icon if not satisfied with the response. Enter additional details and click on Submit to improve the response. They can also choose to either provide consent (checked by default) or opt out of allowing Egnyte access to the logs.

New Chat
Click on the New Chat option to restart the interaction with the agent.
Recents
Click on any of the historical records to access the agent history of up to 180 days.
Users can access any of the historical records by clicking on it. They can also hover over on the three-dots icon and choose to Share, Rename, Pin or Unpin, and Delete it.
Conversations are automatically generated and assigned meaningful titles, making it easier for users to quickly locate them.

Edit an Agent
- Navigate to AI. Under the Agents section, click on the three-dots menu -> Edit.
Agents can also be edited during interaction.
Alternatively, navigate to Settings -> AI Powered Features -> Agents.
Hover over the agent to edit and click on the Edit icon. - Make changes to the Agent details and click on Save.
The agent will be updated.

Mark Agent as Inactive
- Navigate to AI. Under the Agents section, click on the three-dots menu -> Mark as Inactive.
Alternatively, navigate to Settings -> AI Powered Features -> Agents.
Hover over the agent and click on the Mark as Inactive icon. - Click on Mark as Inactive to confirm.
The agent will be marked as Inactive.

Enable or Disable Power Users to Create Agents
- Navigate to Settings -> Configuration -> AI.
- Turn the toggle on to enable Power Users to create agents and toggle off to disable them from creating agents. Click on Save changes.

Model Settings
Admins have the option to choose if the users should be able to select their preferred Large Language Model. Refer to this article for more information.
Limitations
The parent folder(s) selected as the source while creating Egnyte Agents can have any number of sub-folders. However, selected files or folders need to be at the same hierarchy level.
