Working with Egnyte Agents

Agents automate repetitive, time-consuming daily tasks enabling the users to focus on other essential activities requiring their time and effort. 

This article covers the details on working with these agents in a stepwise manner.

This feature is available for Platform Plans with Copilot add-on and included in the New Generation Platform plans. Contact your account manager or Egnyte Sales team to get this feature.

Create an Agent

Users can create their own custom agent as per their requirements or use an existing template to create an agent.

Create a Custom Agent

  • Navigate to Egnyte Copilot Hub. Click on Create New -> Agent, OR click on Create Agent in the banner displayed.

    Users can also navigate to Copilot Hub -> Configuration, OR via Settings -> AI Powered Features -> Agents and click on Create New Agent.

  • Custom Agent is selected as the default choice in the left menu. Click on Create a Custom Agent.

  • Enter the details for the agent. 
    • Name: A descriptive name. 
    • Description: Provide a brief description. 
    • Icon: Select the icon.
      Instruction: Users can click on Generate Instruction to automatically create instructions based on the entered Name and Description. Alternatively, they can enter a custom prompt of at least 10 characters and then click Generate Instruction to generate instructions accordingly. Once the instructions are generated, users can continue to regenerate and improve their instruction using the magic wand icon.

    • Sources (optional): Specify the source(s) for the agent by turning the toggle for the respective sources:

      • Egnyte: The source includes the files and folders present within the Egnyte File Server. The default selection is All files and folders you have access to. Users can choose Selected files and folders, click on Select files and folders, make their desired selection, and click on Continue.

Users can select a maximum of 20 files folders to add as the Agent’s source and they need to be at the same hierarchy level.

      • Web Search: Egnyte ensures that data privacy and security are protected at all times when Egnyte and/or Web Search is selected as the source. Learn more about Egnyte’s Generative AI policyUsers can choose to have the information available on the web as a source by turning this toggle on. They can choose All or selected web source(s) by selecting the desired option.

        • If the users select Selected web sources, they get an option to add the URLs for the specific sources. They can enter the URL, click on Add more to continue adding the URLs. They can click on the delete icon to delete the entered URL as the web source. Click on Save.

        • The entered URLs will be used as the web source(s) by the agent. Users can click on Edit and modify the web source(s) as needed.

      • Test the Agent: Users can test their agent before creating it. They can provide a prompt to test and can: 
      • Click on Save and Open to create the agent.

        The agent will be created successfully and it will be available for the user to start using it.

        The newly created agent will also be available under Copilot Hub -> Agents section and under the Agents listing in the contextual entry point.

Create Agent from a Template

  • Navigate to Egnyte Copilot Hub. Click on Create New -> Agent, OR click on Create Agent in the banner displayed.

    Users can also navigate to Copilot Hub -> Configuration, OR via Settings -> AI Powered Features -> Agents and click on Create New Agent.

  • Select the desired template from the left menu and click on Use this template.

Egnyte offers four templates to provide the users with the Agents ideas. Additional Templates cannot be created at this time.

  • Agent details will be pre-filled based on the template selected. Users can modify the details, if required, and test the agent using the steps as mentioned in the section above. Click on Save and Open to create.

    The agent will be created successfully and it will open for the user to start using it. The newly created agent will also be available under Copilot Hub -> Agents section and under the Agents listing in the contextual entry point.

Use an Agent

  • Users can navigate to Copilot Hub and click on any agent available under Agents.

    Users can search for a specific agent or use the following quick filters:
    -All: This is the default selection displaying all the agents.
    -By Egnyte: The agents created by the system are displayed.
    -My Agents: The agents created by the user are displayed.
    -Trending Now: The most frequently used agents are displayed.

    Alternatively, users can also utilize the contextual entry point from any of the Egnyte pages. They can select the desired agent from the dropdown.

    As soon as the users open the agent, they will get an option to provide their input and start interacting with the agent.
    The users can choose to expand and view the instructions for the agent. The user can also view the source(s) being used by the agent from the input box. These details are not editable while using the agent. Refer here on the steps to edit an agent.

  • Users can test their agent before creating it. They can provide a prompt to test and can: 
  • The agent begins processing the input to provide a response. The user can monitor the status.

    The response is generated based on the user’s input.

    Based on the user’s query, the agent may take a while before generating the response. In such scenarios, there is a notification made available in the Notifications Icon at the top. The notification appears when the user moves out from the Agents screen and the response is generated.

Model Selector

Users can choose from multiple AI models directly within the chat input box. 

  1. Click on Tools icon.

  3. Gemini-2.5 Flash is the default model selected. Click on the arrow and select any other models available as required.

  4. The changes will appear as per the user’s selection.

Edit a Prompt 

Users can edit the most recent prompt given to the agent to refine the response. 

  1. Click on the Edit icon.

The agent will generate the response as per the edited prompt.

Copy Text

Click on the Copy text icon and the response generated by the agent will be copied to Clipboard.

Save Response

Users can save the response provided by the agent by clicking on the Save Response icon.

To save to Egnyte:

  • Click on Save to Egnyte and provide the name to the file. Click on Select Folder.

  • Select the desired folder location and click on Select.

    The response will be saved to the selected folder location.

    Alternatively, the users can choose to download by clicking on the Download option and the response will be downloaded in a Word document on the user's system.

Provide Feedback

Users can provide feedback on the responses generated by the agent. They can click on the thumbs up icon if the response was useful.

Click on the thumbs down icon if not satisfied with the response. Enter additional details and click on Submit to improve the response.They can also choose to either provide consent (checked by default) or opt out of allowing Egnyte access to the logs.

New Chat

Click on the New Chat option to restart the interaction with the agent.

History

Click on the history icon at the top-right to view the agent history of up to 180 days. Users can access any of the historical records by clicking on it. They can also hover over on a record and choose to rename or delete the record.

Agent Configuration Options

When using an agent from Copilot hub, users can view the instructions for the agent which is collapsed by default. They can expand and collapse the instructions view. Similarly, users can click on the source(s) in the input box to view the details of the source(s) being used by the agent.

Users can also view and select another model from the Tools option. The source(s) selected by the agent creator are also displayed.

When using agents from the contextual entry point, the configuration icon is available at the top to view the details.

Users cannot change the Configuration Options while interacting with the agent.

Access to Egnyte Agents

  • Agents with only Web search selected as a source are accessible by all the users regardless of their Folder Permissions.
  • Agents are visible and accessible only to the users with at least Viewer permissions on at least 1 item selected as the agent source. 
    • If there are 5 items selected as the agent source and User 1 has view permissions on only 2 of them, they will be able to view and access the Q&A agent, but the responses will be generated based only on those 2 items.
    • If User 2 has view permissions on all 5 source items, they will be able to view the agent and get responses based on all 5 sources.
    • If User 3 has no permissions on any of the source items, they will not be able to access the agent at all.

Edit an Agent

  • Navigate to Copilot Hub. Under the Agents section, click on the three-dots menu -> Edit.

    Alternatively, navigate to Settings -> AI Powered Features -> Agents.

    Hover over the agent to edit and click on the edit icon

  • Make changes to the Agent details and click on Save and Open.

    The agent will be updated.

Mark Agent as Inactive

  1. Navigate to Copilot Hub. Under the Agents section, click on the three-dots menu -> Mark as inactive.

    Alternatively, navigate to Settings -> AI Powered Features -> Agents.

    Hover over the agent and click on the Mark as inactive icon.

  2. Click on Mark as inactive to confirm.

    The agent will be marked as Inactive.

Enable or Disable Power Users to Create Agents 

  1. Navigate to Settings -> Configuration -> AI.

  2. Turn the toggle on to enable Power Users to create agents and off to disable them from creating agents. Click on Save changes.

Limitations

  • The parent folder(s) selected as the source while creating Egnyte Agents can have any number of sub-folders. However, selected files or folders need to be at the same hierarchy level.
