Google Classification Labels Overview

Labels in Google Drive are metadata that can be defined to help users organize, find, and apply policy to files in Google Drive. Drive labels can support business processes by attaching metadata to files and folders. Common uses for labels are:

  • Classify content to follow an information governance strategy: Create a label to identify sensitive content or data that requires special handling. For example, a user might create a badged label (a label with color-coded option values) titled Sensitivity with the values of Top Secret, Confidential, and Public.
  • Apply policy to items in Drive: Create labels to manage Drive content throughout its lifecycle and ensure it adheres to the organization's record keeping practices. For example, use labels to manage a data loss policy (DLP) whereby users can't download files with a Sensitivity label set to Top Secret.
  • Curate and find files: Create labels to increase searchability of company's content by letting people in the organization find items based on labels and their fields. For example, apply a Signature Status label set to Awaiting Signature to all contracts awaiting signature by a specific date. Drive search can then return these contracts when someone searches awaiting signature.

Use Case Examples

Prevent external sharing with label-based data loss protection (DLP) rules

A user can define rules that apply only to items with a specific label or field. For example, a DLP rule can be created to scan documents for credit card numbers and social security numbers. If a match is found, a label such as Sensitive File is applied with the field value set to Confidential, and external sharing is blocked.

Data-protection rules can use badged labels or standard labels with the Options List field type. Other field types aren’t supported.

Retain files by label with Google Vault

A user can define retention rules that prevent an item from being deleted, or require that an item be deleted, based on a Drive label and any field values. Refer Retain Drive files with Vault to learn more.

Import Google Labels into Egnyte

From the Content Source configuration page.

Navigate to Secure & Govern -> Settings -> Content Sources and select the Google Drive source to import labels from. Once in the source details view, select Configure next to Document Labels.

Navigate to Secure & Govern -> Settings -> Document Labels, click the Sync labels dropdown box and select the Google Drive source to import labels from.

Associate classification policies with document label

When importing the labels, associate any active classification policies with each label.

After the labels have been imported, edit the desired document label and select the classification policies that should be used to identify which files should be labeled. Refer to the Document Labeling article for more information on Document Labels.

FAQ

Why can’t a user delete labels imported from Google?

Google Labels are managed from Google Admin account, so Google labels in Egnyte will only be deleted when they are removed from the Google labeling configuration. To stop using a specific Google label, deactivate it in the Document Labeling page.
