Users can choose any of the prompts or recommended questions, use audio input or type in their question in the input bar on the domain-wide Copilot. They can regenerate responses, verify answers, provide feedback, and view the chat history.

Any Page on Egnyte Web UI
- Navigate to Files or any specific folder that is not converted to a knowledge base.
- Click on the Egnyte Copilot icon.

When the user opens Egnyte Copilot from the side panel while browsing a folder, that folder is automatically selected as the source context. This means their queries will prioritize content from files within that folder.
To change the source selection, use the source selector dropdown to choose different folders, files, or switch to All Sources.
Copilot Hub
The auto-scoping is applicable only on launching Copilot from within a folder view. When accessing Copilot from the Copilot Hub or other entry points, the default All Sources behavior applies.
- Navigate to Collaborate -> Copilot Hub
- Egnyte Copilot will be available for the users to interact with it.
Q&A on Egnyte Copilot
Users can ask questions on Egnyte Copilot and get a response based on their queries. They can either select any of the prompts/recommended questions to ask query. Alternatively, they can use audio input/type the question to get a response.
Asking brief and specific questions generates the best answers. Multipart questions, when asked separately, generate better answers.
Users can also find specific files or folders within Egnyte Copilot. Responses to their queries may include relevant files or folders, depending on the nature of the question.
Users can also choose from multiple AI models directly within the chat input box in Egnyte.
Model Selector
- Click on the Tools icon in the input box.
- Click on Model.
- By default, Gemini-2.5 Flash is selected as the default model. Click on the radio button for any other model as desired.
- The new model will be displayed as per the user’s selection.
Select Scope and Web Search
Users can enable or disable the sources using the Tools icon.
- Click on the Tools icon
- Use the toggle for Web search to enable or disable web search. Egnyte source(s) cannot be disabled.
As soon as the user enables web search, All web sources will show up in the scope. Users can then choose to add specific web source(s).
Users can control the context of their conversations with Egnyte Copilot by selecting the scope and adding the web sources if web search is enabled. They can also disable the web search, as needed.
- Click on the folder dropdown -> Add specific files and folders to set the scope.
- Select the desired file(s), folder(s), and click on Continue.
- The selected source(s) will appear. Users can continue to modify by adding or removing the required items for the scope.
Users can currently select and add up to 20 items as the source for Copilot.
- If web search is enabled, click on All web sources and click on Add more websites to continue web search only on the specified web sources. Alternatively, click on the toggle to disable web search.
- Enter the website URL and continue to add or remove the websites to set the scope.
- Users can then continue to interact with Copilot and the responses will be generated based on the scope.
Multi-File Ask
Users can select up to 10 files and/or folders and interact with Egnyte Copilot based on their selections. The suggested questions will also be based on the user’s selection.
The users can also select the desired items and click on Copilot -> Ask AI from the Context menu to begin their interaction based on the selected items.
If a user is already interacting with Egnyte Copilot and selects specific file(s) or folder(s) during the conversation, they will receive a prompt to start a new chat. This prompt will offer an option to initiate a new chat based solely on their selection. Users can do this by choosing the displayed option or clicking the new chat icon at the top.
Once they click on New chat, they will view the suggestions based on their selection and can continue interacting with Egnyte Copilot.
Multi-File Ask on Search Results
The users can interact with Egnyte Copilot on the selected files based on their search results. This enables faster access to relevant content and enhances productivity by allowing users to extract insights, summarize, or take actions on multiple files simultaneously.
Natural Language File Search
Users can also use Copilot to carry out natural language searches for file metadata. They can add filters in the query for:
- File Type: (for example, find all word docs, show me the ppts)
- User Name: (for example, what did John modify)
- Modified Date: (for example, updates from last week, modified in the last month)
- Upload Date: (for example, files uploaded last week)
Get Response on Specific Files
Users can type @<filename> in the input box to ask questions based on a specific file and receive a response.
They can also click on View all files, select the file(s), and click on Continue to ask questions based on the selected file(s).
Similarly, users can click on ‘+’ icon, search for the file(s) or click on View all files and select the desired file(s) for the Knowledge Base folder to ask questions based on their selection.
- Users can select a maximum of 10 files to ask questions based on their selection.
- Enter at least 3 characters to begin searching for a particular file.
Use Prompts
Users can view and use prompts in their interaction with Copilot. They can click on the View prompts icon from the input box and select the desired prompt.
They can click on Insert to use the instruction of the selected prompt in their interaction with Copilot and receive the associated response.
Improve Prompt
Users can provide an input and click on the Improve prompt icon to automatically improve the prompt and insert in their interaction with Copilot.
Verify Answers
- Use audio input or type in a question and generate the answer on Egnyte Copilot.
- Read the response and click on the given source(s) to verify the information presented.
- For critical decisions, users are advised to cross-verify answers from original documents.
Inline citations are also added for Egnyte and Web sources. Users can click on the citation to view the source and verify the response.
For Egnyte source(s), the user will be redirected to the highlighted section of the referenced file if the user clicks on the citation. For web sources, the specific URL opens up.
Regenerate Answers
The user can regenerate the answer using different source(s) in Egnyte Copilot.
- Click on the regenerate icon.
- Select the desired source(s) from the list available.
- Click on Regenerate.
Edit a Prompt
Users can edit the most recent prompt in the interaction to refine the response generated.
- Click on the Edit icon.
- Edit the prompt and click on Submit to get a response as per the edited prompt.
New Chat
- Click on the New Chat icon at the top and the ongoing chat will be cleared.
Chat History
Chat History of up to 180 days in the past is available in Egnyte Copilot. The history icon is available at the top right corner.
To view the chat history:
- Open Egnyte Copilot
- Click on the history icon. The available historical records will show up with the date or timestamp next to it.
History of the interactions based on specific file(s)/folder(s) selection appears as shown below.
- Hover over on the chat record to view the full name if not already visible.
- Click on any of the available chat records to access it in Egnyte Copilot.
- The chat history will be blank if there are no previous conversations.
Renaming a Record
- Open the chat history of Egnyte Copilot.
- Hover over a particular record to rename.
- Click on the Rename option for the record.
- Enter the new name for the record. To undo the changes made, click on the Undo icon. If the user tries to save an empty (blank) title, then the record will be auto renamed to Untitled.
Deleting a Record
- Open the chat history of Egnyte Copilot.
- Hover over a particular record to delete.
- Click on the delete icon.
- Click on Delete in the confirmation pop-up. The record will be removed from the chat history.
Feedback Options
Users can provide feedback on the responses generated in Egnyte Copilot.
- Click on the thumbs up or thumbs down icon below the response to provide feedback. After every three questions, an explicit feedback option will appear.
- Users can provide additional comments after clicking on thumbs down. Click Submit after entering the comments. They can also choose to either provide consent (checked by default) or opt out of allowing Egnyte access to the logs.
- The feedback submitted by the user will be shared with the Copilot Hub team to improve upon the feature. A notification will appear after the user submits the feedback.
Ensuring Information Safety
A Knowledge base strictly maintains user access permissions; it won’t unveil answers or information that users lack access to.
Copilot does not consider password protected files and files protected using Microsoft Purview Solution (having restricted, confidential, or other protected labels) to generate responses.
Switch between Egnyte Copilot and Knowledge Bases
The users can easily switch between Egnyte copilot and Knowledge Bases.
- Click on the dropdown at the top and switch between Egnyte Copilot and the desired Knowledge Bases.
Enable or Disable Model Selector
Admins have the option to choose if the users should be able to select their preferred Large Language Model from the chat input box.
- Navigate to Settings -> Configuration -> AI.
- User the toggle under Models to enable or disable the setting.
- Click on Save changes.
