Direct Link recipients can request access to the folders through the folder access request feature. Folder owners can then review these requests and approve or deny them as needed.
This feature aims to enhance collaboration by ensuring easier access to shared folders and their contents. Instead of requesting new links, the option to request access to the shared folder simplifies the process for teams, enabling them to access the required information and work more effectively.
There are various scenarios where direct links may be shared with recipients who do not have access to the shared folder. For instance, new employees in an organization may request access to shared folders containing company policies and documents. Similarly, the feature can be useful in cross-departmental collaboration, training activities, new resources joining project teams, client and vendor interactions.
This feature will be available to all customers with platform plans (except GxP) by October 15th 2024.
Here's how it works:
- Open a direct link to a folder which is currently inaccessible.
- Provide a brief reason for the access request (optional but helpful for folder administrators).
- Click on the Request access button located within the folder.
- Submit the request.
Once the access request is submitted, the folder owner will receive a notification and can promptly review and approve the access.
How does the email notification look like
Email title: [Action needed] You have received folder permissions requests
On clicking View the request, the user will be re-directed to the permission pop-up to approve or deny the request.
Once the request is approved, the requesting user will receive a notification that they have been granted permission to the folder.
If the request is denied, the requesting user will receive the notification informing them about the denial.
Who will receive an email notification about the folder access request?
Notification is sent either to the user with owner permissions or to admin user (which has owner permission to every folder). Notification is sent to 5 folder owners (or admins) based on the activity stream in the folder in question, most active owners will receive the email notification about the request. If there are less than 5 active owners in a given folder, then the notification recipients will be selected based on overall activity.
How many requests can a user send?
User can have 5 pending folder access requests.
