Copilot - Overview

Egnyte Copilot is an AI-powered conversational interface designed to enhance productivity and collaboration across an organization.

The users get access to Egnyte Copilot to interact with it by asking questions and receiving a response. They can use the suggested questions or prompts, use audio input or type in their own questions.

In addition, the users can also choose to interact with the specific knowledge bases. A Knowledge Base is a folder converted into a smart information hub for easy access and retrieval. Users can also verify sources, regenerate responses, provide feedback, manage chat history, and use suggested questions or prompts within Egnyte Copilot and  Knowledge Bases.

Users can also improve their prompts, create new or use existing prompts, and ask questions based on selected file(s). 

Users can choose from multiple AI models directly within the chat input box in Egnyte.

- Egnyte Copilot is available only through the Egnyte Copilot Add-on plan. Please contact the Egnyte account manager or Egnyte Sales team to get started.
- Egnyte uses closed models with no cross-training. Refer to the Egnyte Generative Artificial Intelligence (“AI”) Policy for more details.

Benefits & Capabilities 

  • Easily Configurable Knowledge Bases: Users can convert the existing folders on the Egnyte WebUI into easily searchable Knowledge Bases, allowing them to quickly find the information they need.
  • Efficient Query Resolution: Copilot and Knowledge Bases enable the user to ask questions and receive accurate, AI-generated responses in real-time, reducing the time spent searching for answers.
  • Source Verification: Users can verify the sources of information provided, ensuring reliability and transparency in the responses they receive.
  • Tailored Suggestions: Benefit from customized question suggestions that streamline the search process, helping users quickly find relevant information.
  • Response Regeneration: Users can easily regenerate responses to refine the answers to their queries, ensuring that they get the most relevant and up-to-date information.
  • Feedback Mechanism: The option enables providing feedback on responses to help improve the Knowledge Base and address any queries, ensuring continuous improvement and user satisfaction.

Prerequisites

  • An Egnyte admin account or Folder ‘Owner’ permissions to create a knowledge base on a particular folder.
  • Access to the corresponding folder to be able to use the knowledge base and acquire the desired information

Use Case

Here are some example use cases for Egnyte Copilot & Knowledge Bases across different sectors:

  1. Construction:
    • Utilize Egnyte Copilot to quickly identify contracts and other relevant documentation specific to a project by asking questions within the Knowledge Base.
  2. Financial Services:
    • Retrieve and analyze financial reports, compliance documents, and investment portfolios for informed decision-making.
  3. Investment Diligence:
    • Specific financial statements, legal documents, and contracts can be obtained from the Knowledge Base. 
  4. Project Management:
    • Project managers and teams can summarize the meetings, obtain best practices and checklists, and access project plans using the feature. 
  5. Employee Services:
    • Employees can easily know about company policies and benefits by asking questions from relevant Knowledge Base.
  6. Public Sector:
    • Easily access policy documents and regulatory frameworks by querying the Knowledge Base.
  7. Marketing:
    • Identification of the market trends and patterns using the campaign performance reports, customer research studies, and market reports extracted from the provided information. 
  8. Life Sciences:
    • Get access to relevant case studies and research papers for a specific research project through the knowledge base.

Known Limitations

  1. This product offering works only on textual data
  2. If the folder contains "shortcuts" or "external links" then they will not be considered while finding answers for the questions in the Knowledge Base.
  3. Copilot and Knowledge Base will not be able to provide satisfactory answers in the following scenarios: 
    1. Questions where aggregation or other mathematical operations are required to be executed to find the answer, eg:
      1. What are the total sales for the year 2024?
    2. Questions where inference needs to be drawn by considering multiple information source
      1. What is the largest proposal?
      2. Which district has the highest population density?
      3. What was the most expensive project
    3. Question related to file counts
      1. How many files are present in this folder?
      2. For January, how many receipts exist?
  4. For a knowledge base, only one report can be generated for a particular day.
  5. Currently knowledge bases cannot be deleted. However, users can mark them as inactive.
    This is helpful if some of the subfolders are no longer relevant and need to be deselected to improve quality of the answers. Users can mark a knowledge as inactive and then create a new one with the correct subfolder selection.
