PDF Viewer In The IOS App
The PDF Viewer allows for the previewing of PDF files within the iOS mobile app. All features of the viewer are available across all Egnyte plans.
Basic Controls
The PDF Viewer facilitates easy scrolling through a document and navigation of pages using swipes or page thumbnails located at the bottom. Additionally, tapping the grid view icon at the bottom enables quick access to a specific page.
At the top of the viewer, the toolbar provides controls for opening the Annotations List, Search within the document, and the native Share button.
The bottom navigation bar provides access to options such as File Sharing, Mark Offline, AI Assistant, Comments, and More. Clicking on More opens additional File Context Menu providing access to Comments, Copy, Move, Rename, Delete, and File Details).
Annotations List
The list displays all annotations, including notes and highlights, that have been added to the document and provides the ability to search through those annotations.
Annotations in the preview can be shown or hidden using the toggle, which is turned on by default. To view the document preview without annotations, the toggle switch can be turned off.
Annotations can be searched by clicking on the search input field with the magnifying glass icon on the left and typing the desired word or phrase. Matching results will be listed.
Annotations can be deleted by swiping left and tapping the red Delete button.
Search
Tapping the magnifying glass icon on the document preview screen opens the content Search function.
Typing in a word or phrase will display a list of matches along with surrounding text. Tapping on a match will navigate to that section in the document.
Native Share Button
Tapping the share button in the top-right corner of the document preview screen opens the iOS Native Share menu.
From this location, the document can be easily shared via AirDrop, email, messaging apps, or any other available sharing options. Additionally, the document can be saved to the device or other apps. (Please note that these sharing actions are subject to the permissions granted or denied by the domain administrator).
PDF Editing In The IOS App
PDF Editing is an optional add-on to Egnyte plans that provides the following possibilities within the iOS app: adding annotations, manipulating pages, and filling out interactive PDFs. The changes made in the editing mode are made directly to the PDF and will be visible in 3rd party PDF viewing and editing applications.
Starting The Edit Process
PDF editing is supported when the following criteria are met:
- The document is a PDF.
- User has Editor or greater permissions.
- The file is not locked by another user.
The editing mode is enabled by clicking the Edit button located in the lower right corner of the PDF preview screen.
Making And Managing Annotations
Making Annotations
Annotations can be added by selecting Annotation Type Icons from the toolbar (Note: The toolbar can be moved to the left or right side of the screen for easier access):

Text Markup: Long pressing the Text icon will present options such as highlight, underline, squiggle, or strikethrough. Running a finger along the desired text will apply the selected markup.

Add Note: Tapping the Note icon allows for the addition of a note by tapping the desired location in the document. On the note screen, typing the note and selecting Done will save it.

Text: Long pressing the Text icon will present a dropdown menu with options for Text, Callout, or Signature. Selecting one of these options and tapping the desired location in the document will add the chosen element. The text or callout can then be typed, or the signature drawn, with formatting options available for color, fill, opacity, font type, and size.

Drawing: Tap the Drawing Tool icon and select either Drawing or Magic Ink from the dropdown menu to draw freehand on the document. Magic Ink will automatically convert freehand drawings into geometric shapes that match the sketch.
If needed, use the color button to select options for color, background color, blend mode, opacity, thickness, or color presets for the drawing tool.

Freeform Highlight: Tapping the Highlighting tool icon will activate the tool for swiping across the section of the document to highlight it. If needed, the Color button can be used to adjust the color, background color, blend mode, opacity, thickness, or color presets for the highlighting tool.

Eraser: Tapping the Eraser icon will enable the tool for removing unwanted annotations by swiping with the finger.

Shapes: Tapping the Shape icon will present options for Arrow, Line, Rectangle, Ellipse, Polygon, or Cloud. Select a shape and draw it with the finger. If needed, use the Color Button to adjust the color, background color, blend mode, opacity, thickness, or color presets for the selected shape.

Image: Tapping the Image icon will provide options to add a picture. Select Camera to take a photo or Photo Library to choose an image from the Photos app.

More Options: Long pressing the Annotation icon at the bottom of the Toolbar (which dynamically changes based on the last action used) will reveal a context menu. From this menu, select Sound, Link, or Stamp.
- Pressing the Sound icon will present the option to tap on the desired location in the document for the recording. After selecting the location, click on Record to capture the sound and press the Stop button when finished.
- Tapping the Link button will provide the option to add a link.
- Tapping the Stamp button will allow the addition of a stamp.
- Pressing the Sound icon will present the option to tap on the desired location in the document for the recording. After selecting the location, click on Record to capture the sound and press the Stop button when finished.
- Undo & redo: Tapping the Undo arrow will reverse the last action, while tapping the Redo arrow will restore it.
Formatting annotations
Long pressing on an annotation will display a context menu with options for formatting.
Deleting annotations
Annotations can be deleted by following these steps:
- Tapping the Edit button to access annotation tools.
- Selecting the annotation to be removed.
- Tapping the Trash icon.
Form Filling
- Tapping the Edit button on the PDF preview screen will highlight PDF form fields in purple.
- Selecting a form field allows text input using the keyboard.
- Navigation to the next form field can be done by using the left or right arrow buttons or tapping on the desired field.
- The active field’s highlight color will change to yellow, and once filled, it will change to green.
- Tapping on an already filled field will enable modifications.
- The Clear Field button can be used to erase text from the field.
- Selecting Done will exit the form-filling mode.
Page Manipulation
PDF Editing also includes the ability to manipulate the pages of a document, including:
- Adding Pages: Integrate new pages into existing PDF documents.
- Importing Pages: Import pages from other documents into the PDF.
- Extracting Pages: Extract pages from PDFs to create separate, independent documents.
- Page Manipulation: Rotate, rearrange, delete, or duplicate pages.
The feature can be accessed by tapping on the Edit button in the right lower corner of the PDF preview screen, followed by selecting the PDF Page Editor icon as shown below

Saving Edits
Once edits have been made to the document, the changes can be saved. Clicking the Save button in the top-right corner provides two options:
- Save - Creates a new version of the PDF file.
- Save As – Creates a new file and allows for the selection of a new file name and location.
