Rejection Logic for Approval Step in Workflows

Egnyte offers the ability to configure rejection logic for the approval step in workflows. When an assignee rejects an approval step, the workflow can either be rejected or redirected to a previous step. This gives users greater control over how rejections are handled and allows workflows to accommodate revisions without requiring users to recreate them from scratch.

The feature is available to the customers on Elite or Ultimate plans. Please contact the Egnyte account manager or Egnyte Sales team for more information.

Configure Rejection Logic in Workflow Templates

  • Create a new template. Users can configure rejection logic for the approval steps. Mark step as “Rejected” and workflow as “Rejected” is the default selection
  • Users can choose to Mark step as “Rejected” and restart workflow from step as the option and select any step before the approval step for which rejection logic is being configured

If there are no steps prior to the approval step, the option to Mark step as “Rejected” and restart workflow from step will not appear.

  • The rejection flows will be displayed for the workflow template.
  • Click on Create template to create the template
  • In the Workflows General Settings section, Users can also configure the maximum number of executions before the workflow is marked as rejected. The default value is 5 and it can be configured between 2 to 10.
  • Click on Save changes

Create Workflows with Rejection Logic Configured

By default, when an assignee rejects an approval step in a workflow, both the approval step and the overall workflow are marked as rejected.

The same is notified while creating a new approval workflow.

Similarly, when a workflow is created from a template, the configured rejection logic is displayed for approval steps.

View Flows

  • Click on Reject in the approval steps and the configured rejection logic will be displayed for the workflow.
  • Mention the rejection reason and click on Reject.
  • The assignee is also notified if the workflow reaches the maximum number of executions.
  • If the assignee rejects the workflow even when it reaches the maximum number of executions, both the step and the workflow are marked as rejected.
  • The flow can be viewed by opening the workflow and clicking on View flow
  • The specific executions can be viewed by clicking on the dropdown at the top and selecting the desired execution number.
