Recommendations on Egnyte

Recommendations is a Machine Learning (ML)-powered feature that surfaces personalized Egnyte feature suggestions directly inside the application. Instead of expecting users to discover the platform's capabilities on their own, Recommendations proactively points them toward features that are relevant to how they actually work which they haven't yet used.

- Recommendations will be available to the domains on the Ultimate plan and the roll out will be completed by the end of October 2026.
- Suggestions are tailored to each user based on their usage patterns and role.
- Admins and Power Users may receive different recommendations, based on their access to features in the platform. Standard Users do not see Recommendations.
- Suggestions are shown only for features that are available on a Power User’s current plan.
- Admins may receive suggestions to enable Integrations or plan upgrades that could offer further value to their users.

The feature offers the following key capabilities:

  • Personalized, ML-driven feature suggestions based on a user's real usage patterns
  • An always-available entry point in the application so users can browse recommendations whenever they want
  • Lightweight interactions (Got it / Learn more / Not interested) that let users control which suggestions they see again
  • Frequency capping and cooldown logic so the same suggestion isn't shown indefinitely

Accessing Recommendations

A bulb icon (💡) appears in the right side panel, just below the AI Assistant icon. This is the entry point to Recommendations.

  • On a user's first visit, a tooltip lets them know recommendations are available.
  • After that (or once the tooltip is turned off,  refer to Managing Recommendation Notifications below), a numeric badge on the bulb icon shows how many recommendations are currently available.
  • Clicking the bulb icon opens the Recommendations panel, which displays a carousel of suggestion cards that the user can scroll through.

Each recommendation card includes a title, a short description, and a visual (image or short video). Where a video is provided, it plays in a modal on the platform; users are never taken to an external site to watch it.

Recommendation Actions

Users can act on each recommendation card using the three buttons:

Action

What Happens

Got itAcknowledges the recommendation. The card is removed from the carousel and will not reappear for that user for 2 months. After that cooldown period, it becomes eligible to be shown again.
Learn moreOpens a new tab with additional knowledge base content about the feature.  This can be a Helpdesk article or an Egnyte University resource, depending on the recommendation. The recommendation stays in the carousel, it is not removed. Available only when learning materials exist for that recommendation; otherwise only Got it and Not interested are shown.
Not interestedPermanently removes the recommendation for that user. It will not reappear, even after the recommendation model is updated.

When There Are No New Recommendations

If a user has no active recommendations, for example, because everything currently available has been acknowledged, dismissed, or is in its cooldown period, the panel shows an empty state “All caught up! We'll be back with fresh tips soon”.

The badge on the bulb icon is not shown while there are no recommendations to display.

Managing Recommendation Notifications

Admins can turn off the tooltip that appears on the bulb icon from the admin panel:

  • Navigate to Settings > Configuration > General
  • Disable the Show notifications for Recommendations toggle
  • Click on Save changes

When this setting is turned off, the bulb icon no longer shows a tooltip, but it remains available in the right side panel. Users can still click it at any time to open the Recommendations panel and browse suggestions. This setting does not turn off Recommendations itself.
