How can a user manage external collaborations from their domain?

Egnyte allows domain administrators to manage emails domains for external collaboration by applying restrictions across three key areas:

  • Sharing Link Restrictions – Controls email domains to be allowed or blocked for link sharing
  • Co-editing Link Restrictions– Restricts which email domains can be allowed or blocked to collaborate via co-editing links
  • Standard User Restrictions – Controls whether users from specific email domains can be invited as Standard Users by allowing or blocking those domains

Can a user allow certain email domains while keeping some of the email domains blocked?

Users can either choose to allow email domains or block domains for Sharing Link Restrictions, Co-Editing Link Restrictions, and Standard User Invitations. They cannot apply both the rules of allowing and blocking the email domains at the same time. 

What happens if users switch from allow to block and vice versa?

When switching modes:

  • Email domains added under a specific mode will be removed
  • Administrators would need to redefine the domains based on the new restriction type

If email domain restrictions are disabled and then re-enabled, is the previous email domain list retained?

Yes, when the setting is disabled and then re-enabled, Egnyte retains the previously configured email domain list. Administrators can choose to continue with the same setup or start afresh.

What happens to the existing shared links if an email domain is blocked?

The existing links will continue to work for the link recipients. However, if the users attempt to share new links to the restricted email domains, they will receive an error message.

How many email domains can be allowed or blocked?

There are a maximum of 2000 email domains that can be configured to the allowed or blocked list for a specific restriction. 

Is there a provision to add exceptions to the allowed or blocked email domains?

Yes, Egnyte provides the ability to add exceptions to the allowed or blocked email domains. Users can hover over an email domain added and use the edit icon to add user(s) as exceptions for the allowed or blocked email domains. They can always edit these exceptions as needed.

What happens to pending Standard User invitations sent before an email domain was blocked?

If there is a pending invitation for a Standard User from a now-blocked email domain:

  • The invitation cannot be accepted
  • The invitation cannot be resent

Can an external user from a blocked email domain be converted into a Standard User?

No. Users from blocked email domains cannot be invited or converted into Standard Users.

What happens if the admin tries to activate a deactivated user belonging to a blocked email domain?

Admins will not be able to activate such users as the Activate user option is disabled for users belonging to the blocked email domains. There is also an indicator informing the admins.

What happens if a Standard User’s email domain becomes blocked after they are added?

  • The user will continue to exist in the system. There is an indicator for such users in Users & Groups and user’s profile for the admins to easily identify the users belonging to the blocked email domains. Admins can then determine if they wish to delete these users to ensure compliance.

  • However, restrictions apply to future actions involving that email domain.

Can a user from a blocked email domain be converted back to a Standard User after being changed to another user type?

No. If a user from a now-blocked email domain is converted to another user type (for example, to a Power User), they cannot be converted back to a Standard User because their email domain is restricted.

Can different restrictions be applied to sharing, co-editing, and invitations simultaneously?

Yes. Each of the three areas can have independent configurations, allowing granular control over external access.
