Create Bulk Signature Requests

E-signature templates can be used to send across signature requests in bulk, that is, sending across multiple requests through a single click. 

This makes it easier for a user to get signatures on the same documents, such as NDAs, waivers, and others to different signers through separate requests.

Users can create bulk signature requests from the preconfigured templates. It is essential that the Admin has already created the signature templates beforehand for use. 

This feature is not available for trial accounts. To get this feature, please contact Egnyte Sales team.

Create Bulk Signature Request from a Template

  1. Navigate to Workflows and Signatures -> Signatures ->Templates

  2. Hover over on an active template and click on Use template -> Send Bulk Request

  3. A preconfigured signature request screen will open where users can rename the bulk signature request.  Click on Upload CSV to upload the .csv file, which contains the details of all the signers. Provide an optional message and click on Send.

    For bulk signature requests to initiate successfully, the .csv file should contain the first row as roles (column header) corresponding to the template. The subsequent rows should have signer or cc email. Each row will be considered as a unique signature request. Users can download the sample .csv file by clicking on Download sample CSV.CreateBulkSignatureRequests -5.png
    The following is a sample .csv file, which can be uploaded to send signature requests in bulk. In this example, there are two roles, Employee and Manager. Each row contains emails of signers and 10 individual requests will be sent though this .csv file.

  4. If the uploaded CSV file has errors, the user will be notified and bulk request will fail entirely and no request will be sent. In this case, users can click on Upload CSV again to upload the correct file.

  5. If there are no errors, the user will be notified that the request is initiated successfully.CreateBulkSignatureRequests -11.png
    Once the bulk request is initiated successfully, the user can navigate to the Workflows & Signatures -> Signatures -> Sent Requests tab and manage all the requests. The Bulk ID column helps them identify the requests corresponding to a specific bulk request.

Actions on Bulk Signature Requests

Replace Signers

  1. Navigate to Workflows & Signatures -> Signatures -> Sent Requests. Hover over any of the bulk signature requests and click on the three-dots -> Replace signer option.

  2. Enter the existing and new signer IDs and click on Replace.

  3. The signature request will be updated and the new signer will be notified.CreateBulkSignatureRequests -12.png

Send Reminder

  1. Navigate to Workflows & Signatures -> Signatures -> Sent Requests. Hover over any of the bulk signature requests and click on the three-dots -> Send reminder option.

  2. Click on Remind.

  3. The reminder will be sent to the signer.

Cancel Request

  1. Navigate to Workflows & Signatures -> Signatures -> Sent Requests. Hover over any of the bulk signature requests and click on the three-dots -> Cancel request option.CreateBulkSignatureRequests -4.png
  2. Enter the optional message and click on Cancel Signature Request. CreateBulkSignatureRequests -2.png
  3. The signature request will be cancelled.
