Use Egnyte for DocuSign


Once the DocuSign app is configured, a user start sending Egnyte files for eSignature from the WebUI or the Desktop App. The article covers the steps to send a DocuSign template from Egnyte and more. 

Sending with DocuSign is currently supported for these file types:

  • Microsoft Word documents (.doc and .docx)
  • Microsoft Excel spreadsheets (.xls and .xlsx)
  • Adobe Portable Document Format documents (.pdf)
  • Text documents (.txt and .rtf)
  • Images (.jpg, .tif, .gif and .png)

The maximum allowed size from DocuSign is 25 MB.

Send a Document for eSignature

DocuSign has a rich web interface that gives users many options for managing their signed documents. This article focuses on a simple use case where a user wants to collect a signature from a single person. Detailed documentation on DocuSign’s capabilities is available here

WebUI

  1. Navigate to the file to send for eSignature.
  2. Open the action menu, hover over Share, and select the Send with DocuSign option.

    A user can send files within any folder for which they have Editor permissions or higher.

  3. The DocuSign interface will open in a new browser window.
  4. Click on Add Recipients at the top left corner of the screen.

  5. Specify the recipient(s) for the document and click Done.

  6. Drag the Signature field from the left menu and drop where the recipient shall add the signature. The same action can be done to add other fields as needed.

  7. Click on Send.

  8. The recipient(s) will receive an email requesting them to review and sign the document.

  9. Once the recipients confirm their signature, the document will be “completed” in DocuSign, and a signed copy of the document (in PDF format) will appear in the Egnyte account in the folder where the original document resides. The signed copy will have a note automatically added to it indicating date of sign-off.

Egnyte periodically checks with DocuSign to detect when sign-off has been completed, so there may be a slight delay of a few minutes before the signed copy shows up in the account.

Desktop App

  1. Open Window's File Explorer or Mac's Finder and navigate to the file to send for eSignature.
  2. Right-click on the file, hover over Share and select the Send with DocuSign option.

    You can send files within any folder for which you have Editor permissions or higher.

  3. The same steps can be taken as mentioned earlier for WebUI within the DocuSign interface.

Additional Options

Send with a Template.

In addition to sending a regular file for signature, Egnyte now supports sending a template from the More menu. This kicks off a signature flow using the DocuSign templates. Once the document is signed, it is returned to the folder from which the “send template” workflow was launched.

DocuSign Status Page

The More menu also has a DocuSign status page which shows the current status of recent DocuSign activity. This includes signature requests in a draft state, in process, and completed in the last week. From here, the user can take some additional actions on the signature request like re-sending the reminder, voiding a contract, reopening a draft, and showing a signed document.

Import Bulk List Feature

The user can send a DocuSign template using the IMPORT BULK LIST feature in DocuSign. All the signed documents from individual users will be saved back to the original Egnyte folder location as separate PDFs.

  1. Choose recipients on the DocuSign document.
  2. Click IMPORT BULK LIST and upload a .csv file with the recipient list.


  3. Proceed with the rest of the usual process and send out the document for eSignature.
