Unused Permissions Report

Unused Permissions report in Secure & Govern allows users to easily identify and manage permissions that have not been utilized within a specified timeframe. The report covers both individual and group permissions.

Create a New Report 

  1. Navigate to Secure & Govern -> Reports -> Permissions Management -> Unused Permissions

  2. Click on New Report.

  3. Enter the details to create a new report 
    • Report name: Provide a name to the report being created
    • Source: Select the source to be used for the report. Currently, the user can select only Egnyte source. 
    • Location: The default selection is All Folders. Choose Selected Folders to select the specific folder(s) for the report. The user can choose to select the sub-folders automatically during selection.

    • Users/Groups: Choose users or groups for the report. All active users/groups is the default selection. Other choices include
      • All users/groups
      • Only deactivated users/groups
      • Selected users/groups.
      The Selected users/groups option can be used to search and select specific users and groups.

    • Date range: Select the date range as 30 days (default), 60 days, 90 days, 6 months or more.

    • Click on the Create button.

  4. The newly created report is displayed under Reports -> Permissions Management -> Unused Permissions in the pending state. It takes a few seconds to generate the report.

Access a Report

  1. Navigate to Secure & Govern -> Reports -> Permissions Management -> Unused Permissions and click on a report to access it.

  2. The report opens with the following details:
    • User/Group: Name of the individual user or group 
    • Email: Email address 
    • Type: Type is displayed as User or Group 
    • Status: Current status of the user/group as active or deactivated 
    • Folder path: Folder path for which the unused permissions are identified 
    • Unused period: Number of days for which the permission has not been used
    • Permission Type: Permission type as Viewer-Only, Viewer, Editor, Full, or Owner. Click here to learn more about permissions
    • Recommendations: The report provides recommendations for each unused permission identified. For example, if there are 10 users in a group and none of the users have taken any action for the group, then, the recommendation would be Remove group permissions. This is because the entire group is not utilizing any of its available permissions. Similarly, for individual users with unused permissions, the recommendation would be Remove user permissions
    • Content source: Name of the source

Export a Report

The unused permissions report can be exported to the user’s machine in a .xlsx format.

  1. Access a report and click on the Export icon at the top-right.

  2. Alternatively, navigate to Reports -> Permissions Management -> Unused Permissions. Click on the three dots for the report to export and click on Export

Delete a Report

  1. Navigate to Reports -> Permissions Management -> Unused Permissions. Click on the three dots for the report to delete and click on Delete

  2. Click on Delete to confirm.
