The Egnyte iOS app features a powerful document scanner that provides an efficient and user-friendly scanning experience. This guide provides an overview of using the document scanner and the available controls to help optimize scans.
Getting Started
Accessing the Document Scanner
- Open the Egnyte iOS App.
- Tap the +Create or Upload button at the bottom of the screen.
- Select Scan Document from the available options.
Scanning Your Document
Auto Scanning and Manual Scanning
- Auto Scanning: The scanner automatically detects and captures the document as soon as it’s in view, ensuring a quick and seamless process.
- Manual Scanning: If manual control is preferred, the Auto button should be tapped to change the mode to Manual. In the manual mode, clicking the Scan button will capture the document.
Available Controls
The following controls are available to adjust the scanning process:
Flash Settings
- Auto: The flash is used automatically based on lighting conditions.
- On: The flash is always on for every scan.
- Off: The flash is disabled.
Color Options
- Color: Captures the document in full color.
- Grayscale: Converts the document to shades of gray.
- Black & White: Provides a high-contrast black-and-white version of the document.
- Photo: Optimizes the scan for photos, preserving color and detail.
Adjusting the Scan
Once a document is captured, adjustments can be made to the scanned pages by tapping the scanned page thumbnail button in the left lower corner
The following adjustments are available:
- Dragging Corners: drag the corners to manually adjust the document's borders, ensuring it’s aligned correctly.
- Color Settings: select Color, Greyscale, Black & White, or Photo to apply the desired color pattern.
- Rotate: tap the Rotate icon to set the scanned page to the desired orientation.
- Delete: tap the Trash icon to delete the scanned page.
Managing Pages
- Swipe Pages: Swipe left or right to move between pages.
- Multi-page View: View all scanned pages in a grid layout for easy navigation.
- Add Page: Tap this option to scan additional pages into the same document.
- Rotate: Rotate the scanned page to the desired orientation.
- Delete: Remove the selected page from the document.
Saving A Scan
- Tap the Save button (which is available both on the Scanning Screen and on the Scanned Document screen).
- Hitting Save on the Scanning Screen will redirect to the Scanned Document screen, where last minute changes can be made to the file such as:
- adding a page
- deleting
- rotating
- Selecting Add a Page allows choosing how to add a new page: either by using the Camera or by selecting an image from the Photos app.
- Enter a name for the scanned document when prompted and hit Save. The scan will be saved as a PDF file.
Extracting Text from a Scanned Document
- Navigate to the desired folder
- Tap the +Create or Upload button at the bottom of the screen
- Select Extract Text from the available options
- Position the camera in front of a document or image containing text
- Once the text is recognized and highlighted, tap the capture button to proceed
Saving the Extracted Text to a Document
- Long-press the extracted text and highlight the desired selection
- From the context menu, choose Text File
- When the text file opens, click Save
- On the next screen, you can:
- Rename the file by clicking the three-dot menu and then Rename
- Clicking Change folder to change the destination folder
- Rename the file by clicking the three-dot menu and then Rename
- Click Upload to save the file
Additional Options for Extracted Text
Long-press the extracted text to display the context menu with additional actions
Use the arrows or swipe the menu to explore the following options:
- Copy: Copy the text to the clipboard
- Select All: Highlight the entire extracted text
- Look Up: Display a dictionary definition (when a single word is selected), or show Siri-suggested websites and related resources (when multiple words are selected)
- Translate: Instantly translate the text into selected languages
- Search Web: Activate the default browser to search for the highlighted text
- Share: Share the text using native sharing options
Best Practices for Scanning Documents
- Background: If possible, use a solid, contrasting background for the document to enhance edge detection and clarity..
- The Document: Ideally, the document should be flat and smooth, with no creases or curled edges.
- Document Placement: Place the document flat and keep the camera parallel to avoid distortions.
- Lighting: Bright, even lighting without shadows or glare is recommended for optimal scan quality.
