Egnyte Life Sciences GxP plans with Workflows offer the following workflow settings in the General settings section of workflow configuration.
Managing Digital Signature Defaults in Workflow Approvals
Administrators can now manage the default selection of the Digital Signature option for approval steps. Additionally, they can choose whether users can override the default digital signature settings. Follow the steps described below to configure these options:
- Navigate to Settings -> Configuration -> Workflows -> General Settings in Egnyte Collaborate.
- In the Digital Signature section, select either Yes or No to determine if the Digital Signature option should be selected by default for approval steps.
- Decide whether users can override this default setting. To allow users to change the default settings, select the checkbox for Allow the user to override this setting.
Any changes made to Digital Signatures settings will not affect existing workflows or workflow templates, unless edited
Configuring Approval Reasons for Digital Signatures
Administrators have the ability to add custom approval reasons and delete existing ones, except for one default reason, “I approve this document”.
These custom reasons are available to all domain users in the dropdown list of the approval field when approving a document using a digital signature. Follow these steps to add and delete approval reasons:
- Navigate to Settings -> Configuration -> Workflows -> General Settings in Egnyte Collaborate.
- In the Reasons for approval section, click Add reason for approval.
- Enter a custom reason with a minimum of 3 and a maximum of 75 characters and click the Add button.
- Navigate to the reason and click on the delete icon to remove any existing choices except “I approve this document”.
Up to 9 reasons can be added in addition to the default reason - “I approve this document”.
The changes made to approval reasons are applicable to all existing and new workflows.
Any changes made to the approval reasons will not be visible on Egnyte Mobile Applications with Android versions 8.50 or lower, and iOS version 8.29 or lower. Users will need to either update their Egnyte Mobile application or approve the document using the WebUI interface.
