Introducing Workflow Templates and Settings

Workflow Templates

We are excited to announce that the Administrators can now define reusable workflow templates to simplify creation of workflows by end users. This new feature will speed up workflow creation and increase workflow consistency to streamline review and approval processes for your entire organization.  More details on Workflow Templates can be found here.

Workflow Templates are now available for accounts with multi-step workflows enabled.

Creating Templates

Administrators and Power Users with a role containing the “can manage Workflow Templates” can create and manage workflow templates. Templates creation has the following three different sections:

  1. Template General Setup: This section allows you to define information about a template, such as a template name and description and settings to control template access by selecting a combination of folder location, user group, and file type.
  2. Template Steps Setup: This section allows you to configure your review and approval processes by adding up to 10 To Do/Review/Approval step(s). 

Workflow Reminders: This section allows you to customize the task reminders for a template.

Creating Workflows From Templates

Once a template is activated, users meeting the access criteria defined in the template can create workflows from the template.

Audit Trail

A new Workflow Templates audit report is available for plans supporting Audit Reporting, capturing all the actions related to workflow templates, such as template creation, template edits, and template status change. The existing Workflow audit report is updated to track the workflows created from a template.

Default Workflow Settings

Administrators can now set the following default workflow settings in the General settings section of workflow configuration.

Digital Signatures Settings

For accounts with the Workflow Digital Signature feature, Administrators can now control whether approval steps have the Digital Signature option selected by default in the Workflows Configuration settings. Additionally, you can choose whether users can override the default digital signature settings.   

Workflow Reminders Settings

Administrators can now set the default task reminders for the workflows and templates. Users can modify the default task reminders options if necessary when creating workflows and templates.
