Content Safeguards - Exception Policies

Egnyte Secure & Govern now provides two different types of Content Safeguard Policies. These are Restriction Policies and Exception Policies. In this article, Content Safeguard Exception policies will be discussed in detail. For detailed information regarding Content Safeguard Restriction policies, see Content Safeguard Restriction Policies 

Content Safeguard Exception Policies

Content Safeguards can protect your repository from data leaks by allowing customers to set the Egnyte Collaborate default link sharing restrictions to be most restrictive. Administrators can then leverage Content Safeguard Exception policies to provide less restrictive link sharing options for certain user groups.

Content Safeguard Exception policies can be linked to existing Content Safeguard Restriction policies or configured as stand-alone policies. Currently, Exception policies can only be defined for link expiry settings. Administrators can configure the link expiry Exceptions, by user group, for existing Restriction and stand-alone Exception policies. Stand-alone Exception policies also require the Administrator to select at least one folder location where the policy will be applied.

Content Safeguard Exception policies will only be applied to newly created links. Link Expiry will not be changed for existing links. You can find additional information about helping Egnyte Collaborate users and answers to frequently asked questions in the Additional Resources section.

This feature works for Egnyte Collaborate sources only. Creating link exception policies will not impact sharing for non-Collaborate sources.

How Content Safeguard Exception Policies Work

  • Folder/File links - Content Safeguard policies impact file links only. Users still can create folder links, but recipients may not be able to download or preview files matching the policy
  • Creating/Applying New Policy Changes - Creating or modifying Content Safeguards policies is not a real-time process. After any policy creation or change, Secure & Govern needs to scan through and stamp all the files that match the policy in Egnyte Collaborate. This may take hours or even days. Currently, we can stamp up to 100K files per hour
  • Newly added files - This is not a real-time process. Secure & Govern must scan and stamp the new files that match any existing Content Safeguard policy. This may take up to 1 hour.

Currently, Content Safeguard Exceptions policies can only be used to control group-based link expiry. This will be expanded to support all link controls in the future.

Manage Content Safeguards

Create an Exception Policy

1. Go to the Settings page, click the Content Safeguards dropdown, choose Exceptions, and click Create Exception.

2. Specify the policy name and description.

3. Choose “None” for a stand-alone policy or select an “Existing Restriction” policy from the dropdown

4. Select the following “Configuration” criteria based on Exception Policy Type and select “Save”

Group(s): The group(s) the exception will applied to

Location: Files within the specified folders where the exception will be applied. When a top-level folder is selected, all of the sub-folders are automatically selected. The sub-folders included can be adjusted.



Related Restriction Policy (At least one group)

Location: Files within the specified folders will be restricted. When a top-level folder is selected, all of the sub-folders are automatically selected. The sub-folders included can be adjusted.

 5. Select either “Link Expiry Duration” or “Link Expiry Clicks”

 

6. Click Create Exception

Do not use this feature to set default link security standards across the entire Egnyte Collaborate source. Instead, customize the share settings in Collaborate.

View, Edit, and Delete Active Access Control Policies

  1. Go to the Settings page, click the Content Safeguards dropdown, choose Exceptions. All active policies will appear in this list along with the number of file exceptions under the policy.
  2. To edit or delete a policy, click the three dots on the right-hand side of the policy.


Other Link Options

When link expiration is enforced via a Content Safeguard policy, link creators will only be allowed to create new links based on the enforced policy settings.
